Job Description: Scheduler/Virtual Assistant We are currently seeking a highly organized and detail-oriented individual to fulfill the role of Scheduler/Virtual Assistant. As a Scheduler/Virtual Assistant, you will be responsible for managing and coordinating appointments, meetings, and events for our team, as well as providing administrative support... Responsibilities: 1. Efficiently schedule appointments, meetings, and events based on availability and priorities. 2. Coordinate with team members, clients, and external stakeholders to ensure all parties are informed and prepared for scheduled appointments. 3. Manage virtual calendars and assist in organizing and optimizing time management. 4. Prepare and distribute meeting agendas, documents, and presentations as needed. 5. Perform general administrative tasks, including data entry, file management, and communication handling. 6. Conduct research and provide support on various projects or assigned tasks. 7. Assist with virtual meeting coordination and ensure technology requirements are met. 8. Proactively identify and communicate any scheduling conflicts or issues that may arise. 9. Maintain confidentiality and handle sensitive information with discretion. 10. Handle travel arrangements and accommodations for team members, as needed. Requirements: 1. Previous experience as a scheduler, virtual assistant, or in a similar administrative role is preferred. 2. Proficient in using scheduling software, virtual meeting platforms, and other relevant tools. 3. Excellent organizational and time management skills to effectively prioritize and handle multiple tasks simultaneously. 4. Strong attention to detail and accuracy when managing schedules and organizing information. 5. Exceptional verbal and written communication skills, with the ability to effectively communicate with team members and external stakeholders. 6. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software. 7. Self-motivated and able to work independently, while also being a proactive team player. 8. Ability to adapt to changing priorities and work well under pressure. 9. High level of professionalism, integrity, and confidentiality. 10. Excellent problem-solving skills and ability to anticipate potential scheduling conflicts or issues.
