Position Overview

We are seeking a highly motivated Remote Procurement Data Entry Specialist to support our purchasing operations under the guidance of the Corporate Manager of Purchasing. This entry‑level role is perfect for candidates who thrive on organization, enjoy working with digital procurement platforms, and are eager to develop a career in supply‑chain management. You will be the backbone of our order‑processing workflow, ensuring that every requisition, vendor request, and purchase order is entered accurately, reviewed for compliance, and tracked to successful completion.

Key Responsibilities

  • Requisition Management: Own assigned purchase requisitions, sourcing materials or services from existing vendors whenever feasible, and escalating exceptions when necessary.
  • Manual Order Processing: Handle standing orders, blanket orders, new‑vendor requests, and service contracts that require manual intervention, guaranteeing that each entry reflects the latest pricing and terms.
  • Compliance Review: Scrutinize purchase requisitions for alignment with budget constraints, internal policies, and regulatory requirements before they advance to approval.
  • Vendor Identification & Selection: Research and recommend potential vendors based on availability, price competitiveness, quality standards, and delivery reliability.
  • New Vendor Evaluation: Assist the procurement team in assessing new‑vendor submissions, documenting findings, and supporting approval decisions.
  • Purchase Order Administration: Create, modify, and monitor purchase orders from initiation through receipt, ensuring data integrity, timely fulfillment, and accurate documentation.
  • System Utilization: Operate automated materials‑management tools, including Electronic Data Interchange (EDI) platforms, vendor portals, and internal ERP systems such as PeopleSoft.
  • Product & Service Research: Conduct thorough research using reputable reference sources to validate specifications, pricing, and market trends.
  • Stakeholder Communication: Provide regular updates to internal customers, suppliers, and management on the status of open requisitions and any potential delays.
  • Documentation & Record‑Keeping: Maintain meticulous records of sourcing decisions, price negotiations, quality assessments, and delivery timelines for audit and reporting purposes.
  • Confidentiality Assurance: Safeguard sensitive information related to staff, patients, and organizational operations in accordance with privacy policies and industry standards.
  • Collaboration & Process Improvement: Work closely with cross‑functional teams to identify bottlenecks, suggest workflow enhancements, and contribute to a culture of continuous improvement.

Essential Qualifications

  • Bachelor’s degree in Business Administration, Supply Chain Management, Finance, or a related field.
  • Demonstrated ability to enter data quickly and accurately, with a keen eye for detail.
  • Familiarity with basic procurement terminology (e.g., purchase orders, requisitions, vendor contracts).
  • Proficiency in Microsoft Outlook and comfort navigating web‑based portals.
  • Strong written and verbal communication skills, enabling clear interaction with vendors and internal stakeholders.
  • Ability to work independently in a remote environment while meeting deadlines and maintaining high productivity.
  • Commitment to upholding confidentiality and ethical standards in all procurement activities.

Preferred Qualifications & Additional Skills

  • Experience (even internship or academic project) with ERP systems such as PeopleSoft, SAP, or Oracle.
  • Exposure to Electronic Data Interchange (EDI) processes or vendor portal management.
  • Basic understanding of budgeting principles and cost‑control strategies.
  • Analytical mindset with the ability to interpret data trends and recommend actionable insights.
  • Exceptional organizational skills, capable of juggling multiple requisitions simultaneously.
  • Self‑starter attitude, eager to learn new procurement technologies and industry best practices.

Core Competencies for Success

  • Accuracy & Attention to Detail: Every line item entered must be error‑free to avoid costly downstream issues.
  • Time Management: Prioritize tasks effectively to meet the 8 AM – 5 PM schedule and handle peak‑period volumes.
  • Problem‑Solving: Identify discrepancies early, propose solutions, and communicate resolutions promptly.
  • Team Collaboration: Build strong relationships with procurement colleagues, finance partners, and external vendors.
  • Adaptability: Thrive in a dynamic environment where policies, systems, and supplier landscapes evolve.
