Key Responsibilities

  • Guest Communication: Answer inbound calls and messages from guests and vendors using VoIP technology, delivering clear, courteous, and brand‑aligned responses.
  • AI‑Powered Messaging: Deploy ChatGPT and other AI tools to craft personalized, on‑brand messages that resonate with travelers across all touchpoints.
  • Screening & Onboarding: Review potential guest profiles, verify booking details, and ensure compliance with arenaflex standards before confirming reservations.
  • Issue Resolution: Provide timely support for guest concerns on arenaflex, including booking changes, maintenance requests, and any other service disruptions.
  • Review Management: Draft, post, and respond to guest reviews on arenaflex platforms, turning feedback into actionable insights.
  • Escalation & Collaboration: Communicate complex issues to management via arenaflex’s internal messaging system, ensuring swift resolution.
  • Maintenance Coordination: Log and report property damage or maintenance needs to the Operations team through arenaflex Teams.
  • Financial Assistance: Submit damage claims and assist with reimbursement processes using arenaflex Shield, supporting accurate financial tracking.
  • Vendor Relations: Liaise with third‑party service providers, coordinating repairs, cleaning, and other ancillary services for tertiary market properties.
  • Performance Tracking: Monitor key performance indicators such as response time, guest satisfaction scores, and rating trends, reporting findings to leadership.

Essential Qualifications

  • Fluent English with impeccable grammar, both written and spoken.
  • Proven experience in a virtual assistant or customer service role within the hospitality or short‑term rental industry.
  • Demonstrated ability to switch seamlessly between tasks while maintaining high accuracy and professionalism.
  • Strong familiarity with AI conversational tools, especially ChatGPT, and the ability to tailor outputs to match brand voice.
  • Comfortable using VoIP systems for phone communication with guests and vendors.
  • Availability to work during Central and Eastern U.S. time zones, specifically Thursday & Friday 3 pm–11 pm CST.
  • Reliable internet connection and a dedicated workspace conducive to remote collaboration.

Preferred Qualifications

  • Previous experience with arenaflex or similar property‑management platforms.
  • Background in handling guest relations for high‑volume short‑term rental portfolios.
  • Knowledge of basic accounting principles and experience supporting onboarding of financial systems.
  • Familiarity with overnight shift work (11 pm–7 am CST) for candidates seeking additional hours.
  • Experience in managing third‑party vendor contracts and service level agreements.
