Key Responsibilities

  • End‑to‑End Repair Coordination: Receive, log, and track customer repair requests, ensuring each case is handled promptly and professionally from start to finish.
  • Technician Scheduling & Prioritization: Collaborate closely with repair technicians to schedule service appointments, prioritize urgent repairs, and balance workload to meet service level agreements.
  • Invoice Accuracy & Delivery: Generate, review, and dispatch accurate invoices to customers, addressing any discrepancies quickly to maintain trust and financial integrity.
  • Data‑Driven Reporting: Run regular reports on repair volumes, turnaround times, and cost metrics; analyze trends to recommend actionable process enhancements.
  • Continuous Improvement Initiatives: Participate in, and occasionally lead, improvement projects aimed at exceeding service goals, reducing cycle times, and increasing overall productivity.
  • Customer Communication: Serve as the primary point of contact for customers, providing clear updates, answering inquiries, and resolving issues with empathy and professionalism.
  • Cross‑Functional Collaboration: Work hand‑in‑hand with manufacturing, logistics, and quality assurance teams to ensure parts availability, proper documentation, and seamless handoffs.
  • Compliance & Documentation: Maintain meticulous records of all repair activities, ensuring compliance with internal policies and external regulatory requirements.

Essential Qualifications

  • Bachelor’s degree (preferred) or equivalent combination of education and experience.
  • 2–5 years of proven experience in a customer service or client‑facing role, preferably within a technical or repair‑focused environment.
  • Demonstrated ability to manage multiple priorities, meet deadlines, and maintain a high level of accuracy.
  • Strong analytical mindset with experience generating and interpreting reports to drive process improvements.
  • Exceptional written and verbal communication skills, with a focus on clarity, professionalism, and customer empathy.
  • Proficiency with standard office software (Microsoft Office Suite, especially Excel) and familiarity with CRM or ticketing systems.
  • Ability to pass a background check and drug screening, and to commute to the Bartlesville, OK location.

  • Experience working in a manufacturing, logistics, or field service environment.
  • Knowledge of equipment repair processes, warranty policies, and parts inventory management.
  • Certification in customer service excellence (e.g., HDI, ITIL) or related fields.
  • Advanced Excel skills, including pivot tables, VLOOKUP, and data visualization.
  • Demonstrated track record of leading or contributing to continuous improvement initiatives (Lean, Six Sigma, Kaizen).
