Key Responsibilities

As a Remote Data Entry Coordinator specializing in Workers Compensation Utilization Review, you will be the linchpin that connects providers, adjusters, and internal reviewers. Your day‑to‑day duties will include:

  • Managing daily communications with clients and client staff, ensuring a professional and courteous tone in every interaction.
  • Receiving referrals—prospective, retrospective, concurrent, reconsiderations, and appeals—via fax, email, or secure portal from providers and adjusters.
  • Accurately entering referral data into arenaflex’s proprietary utilization review software, maintaining meticulous records throughout the lifecycle of each case.
  • Obtaining necessary authorizations from adjusters before initiating reviews, and documenting all correspondence for audit purposes.
  • Assigning utilization review (UR) requests to appropriate physician reviewers based on established protocols, state guidelines, and reviewer expertise.
  • Monitoring the progress of each UR request, providing timely updates to providers and adjusters via telephone or email, and ensuring all deadlines are met.
  • Keeping detailed logs of inbound referrals, outbound communications, and case status changes to support quality assurance and reporting requirements.
  • Participating in periodic, random quality assurance (QA) reviews to verify accuracy, adherence to protocol, and best practice compliance.
  • Collaborating with cross‑functional teams—including claims, legal, and IT—to resolve complex issues and improve workflow efficiency.
  • Performing other duties as assigned, such as assisting with training new hires, contributing to process improvement initiatives, and supporting special projects.

Essential Qualifications

  • Utilization Review Experience: Minimum of 3 years of hands‑on experience conducting utilization reviews within the workers’ compensation arena.
  • Medical Terminology Proficiency: At least 2 years of experience working with medical terminology, coding, and documentation standards.
  • Microsoft Office Mastery: Minimum of 3 years using Microsoft Office Suite (Word, Excel, Outlook) for data entry, reporting, and communication.
