The Role: Remote Customer Experience Specialist

As a Remote Customer Experience Specialist at arenaflex, you will serve as the first point of contact for our diverse community of pet parents. Every day, you will have the opportunity to transform customer challenges into delightful resolutions, helping pet parents navigate everything from order tracking and product recommendations to subscription management and complex service issues. You will work across multiple communication channels — phone, email, and live chat — adapting your tone and approach to meet each customer where they are. Whether you are helping a first-time puppy parent choose the right food or assisting a long-time customer with a prescription refill, your work will leave a lasting impression.

Key Responsibilities

  • Deliver Outstanding Customer Support: Provide responsive, knowledgeable, and empathetic service across phone, email, and chat channels, consistently meeting or exceeding quality and productivity standards.
  • Resolve Customer Inquiries: Address a wide variety of customer questions and concerns, including order status, shipping updates, returns, refunds, product information, account management, subscription services, and prescription requests.
  • Build Trust and Loyalty: Engage with each customer in a way that strengthens their relationship with arenaflex, actively listening to their needs and providing tailored solutions that exceed expectations.
  • Escalate and Collaborate: Partner with cross-functional teams — including fulfillment, veterinary services, technology, and merchandising — to escalate and resolve complex issues efficiently and thoroughly.
  • Maintain Product Expertise: Stay current on arenaflex’s expansive product catalog, evolving policies, seasonal promotions, and emerging customer service best practices.
  • Document Interactions: Accurately log all customer interactions, feedback, and resolutions in our CRM platform to support continuous improvement and data-driven decision-making.
  • Identify Trends: Recognize recurring customer pain points and share actionable insights with leadership to inform product, policy, and process improvements.
  • Uphold Brand Standards: Embody the arenaflex voice and values in every customer interaction, ensuring consistency and warmth in all communications.

Essential Qualifications

  • Customer Support Experience: A minimum of two years of professional experience in a customer-facing role, preferably in retail, e-commerce, call center, or related environments.
  • Communication Skills: Exceptional written and verbal communication abilities, with a knack for crafting clear, friendly, and professional messages across multiple platforms.
  • Empathy and Patience: A natural ability to understand customer emotions, de-escalate tense situations, and provide reassurance during stressful moments.
  • Problem-Solving Skills: Strong analytical and critical-thinking capabilities, with a track record of resolving issues efficiently and creatively.
  • Technical Proficiency: Comfort navigating multiple systems, including CRM platforms, ticketing tools, and internal knowledge bases. Typing speed of at least 40 WPM is preferred.
  • Remote Work Readiness: Previous experience working remotely, with a reliable high-speed internet connection, a quiet and dedicated workspace, and proficiency with tools like Slack, Zoom, and Microsoft Teams.
  • Adaptability: Ability to thrive in a dynamic, evolving environment where priorities can shift and new products and policies are introduced regularly.

Preferred Qualifications

  • Prior experience in the pet care, veterinary, retail, or e-commerce industries.
  • Familiarity with subscription-based business models and recurring order management.
  • Experience handling escalated customer concerns or working in a Tier 1 or Tier 2 support environment.
  • Knowledge of pet nutrition, health products, or pet ownership best practices.
  • Bilingual or multilingual capabilities are a strong plus.
