[Remote] Remote Project Manager and Executive Assistant
Note: The job is a remote job and is open to candidates in USA. Genie Academy is a K-12 supplemental education company based in New Jersey, focused on teaching various subjects to small groups of students. They are seeking a Remote Project Manager and Executive Assistant who will manage project delivery and provide executive support to the founder by organizing tasks, managing schedules, and ensuring effective communication.
Responsibilities
- Translate annual goals and quarterly Rocks into sprints, milestones, and tasks with clear owners and dates
- Plan sprints, run standups, keep backlogs clean, and clear blockers weekly
- Hold the full map of every active project -- who owns what, what's stuck, and what's at risk
- Maintain one source of truth for status so anyone can see what's on track, what's late, and why
- Drive accountability without absorbing other people's work -- the next action stays with its owner
- Guard the founder's time and protect blocks for deep work
- Triage email, draft replies, and flag only what truly needs the founder
- Prepare every meeting: agenda in, notes and action items out (including weekly Level 10 and standing meetings)
- Log and track every commitment the founder makes through to completion
- Produce first drafts of messages, documents, and updates; coordinate with the team on the founder's behalf
- Handle travel, bookings, and logistics
- Deliver a tight status update -- what shipped, what slipped, and what needs a decision
Skills
- 3+ years in project management, executive support, or a blended role
- Proven ability to break a large goal into a plan with clear owners and dates
- Working familiarity with EOS or Scaling Up, and/or Scrum, Agile, or Kanban
- Strong calendar and inbox management
- Excellent written English -- this is a remote, mostly async role
- Discretion and sound judgment handling sensitive information
- Self-directed and reliable -- you close loops without being chased
- Calm under competing priorities with good judgment on what matters now
- Scrum certification (CSM, PSM, or equivalent hands-on experience)
- Prior experience as a founder's EA or chief of staff
- Background in education, multi-location operations, or software delivery
- Experience coordinating distributed or offshore teams
