Position Overview

The Office Technician – MLTC Data Entry role is a cornerstone of arenaflex’s Medicaid and Long‑Term Care (MLTC) operations. You will be responsible for accurately entering, reviewing, and managing medical claim information, ensuring that every claim is processed efficiently and in compliance with state and federal regulations. This position offers a blend of clerical expertise, customer service, and data‑driven problem solving, making it ideal for candidates who thrive in fast‑paced, detail‑oriented environments.

Key Responsibilities

  • Perform high‑volume data entry of medical and NFOCUS claim forms, maintaining a minimum rate of 8,000 keystrokes per hour with at least 95% accuracy.
  • Identify, correct, and flag errors or inconsistencies in claim submissions to ensure compliance with policy guidelines.
  • File, sort, and open incoming mail, distributing documents to the appropriate departments promptly.
  • Copy, scan, and archive records while preserving confidentiality and adhering to data‑security protocols.
  • Conduct thorough reviews of claim forms for missing or incomplete data, reaching out to providers or internal teams for clarification.
  • Answer inbound calls from providers, beneficiaries, and internal staff, providing status updates on claims, eligibility inquiries, and payment verifications.
  • Utilize multiple mainframe computers and specialized software (Enterprise One, NFOCUS, MMIS, OnBase) to retrieve, update, and verify claim information.
  • Collaborate with supervisors and cross‑functional teams to streamline workflow, suggest process improvements, and support continuous quality initiatives.
  • Maintain organized electronic and physical filing systems using alphabetical and numerical indexing methods.
  • Participate in periodic training sessions, audits, and performance reviews to stay current with evolving regulations and technology.

Essential Qualifications

  • High school diploma or GED equivalent; additional coursework or training in office administration, health information management, or related fields is preferred.
  • Demonstrated experience in public contact or customer service environments, with a focus on professionalism and empathy.
  • Proficiency with standard office software, including Microsoft Outlook, Word, and Excel.
  • Basic familiarity with data‑entry techniques, keyboarding speed of at least 8,000 keystrokes per hour, and a strong eye for detail.
  • Ability to work independently while maintaining high levels of accuracy in a repetitive, high‑volume setting.
  • Excellent written and verbal communication skills, with the ability to proofread and verify data for correctness.
  • Strong organizational abilities, capable of managing multiple tasks and meeting tight deadlines.

Preferred Qualifications & Skills

  • One or more years of experience in a customer‑service role, preferably within a health‑care or government setting.
  • Hands‑on experience with enterprise systems such as Enterprise One, NFOCUS, MMIS, or OnBase.
  • Advanced knowledge of Microsoft Excel functions (pivot tables, VLOOKUP, data validation) to support reporting and analysis.
  • Experience reviewing medical claim forms, understanding of basic medical terminology, and familiarity with eligibility verification processes.
  • Demonstrated ability to handle confidential information in accordance with HIPAA and other privacy regulations.
  • Problem‑solving mindset: ability to investigate discrepancies, research solutions, and communicate findings clearly.
