Key Responsibilities

As an Online Chat Support Specialist at arenaflex, you will be the first point of contact for HR‑related inquiries delivered through our digital chat platform. Your day‑to‑day duties will span the full employee lifecycle, ensuring that recruitment, onboarding, employee relations, and compliance are executed with precision and empathy.

  • Recruitment & Onboarding
    • Post job advertisements on internal and external channels, tailoring language to attract top talent.
    • Screen resumes, conduct preliminary chat‑based assessments, and coordinate interview schedules with hiring managers.
    • Guide new hires through the digital onboarding portal, confirming receipt of equipment, access credentials, and essential documentation.
    • Maintain a seamless flow of information between recruiters, hiring managers, and new employees to reduce time‑to‑fill.
  • Employee Relations
    • Act as the primary chat liaison for call‑center staff seeking clarification on HR policies, benefits, or procedural matters.
    • Support employee engagement initiatives by promoting wellness programs, recognition events, and feedback surveys.
    • Escalate complex or sensitive concerns to senior HR partners while ensuring confidentiality and timely resolution.
  • HR Administration
    • Update and audit employee records in the HRIS, ensuring accuracy for attendance, performance metrics, and personal data.
    • Process HR paperwork—including contracts, promotions, transfers, and terminations—through secure digital workflows.
    • Generate routine reports on staffing levels, turnover trends, and other key HR indicators for leadership review.
  • Training & Development
    • Coordinate scheduling and logistics for virtual training sessions, workshops, and certification programs.
    • Track participation and progress, producing dashboards that highlight skill gaps and development milestones.
    • Collaborate with learning‑and‑development specialists to tailor content that meets the unique needs of call‑center agents.
  • Compliance & Reporting
    • Monitor adherence to internal policies, labor regulations, and industry standards, flagging any deviations promptly.
    • Prepare compliance documentation and audit-ready reports for internal and external stakeholders.
    • Stay current on evolving employment law and best practices, sharing insights with the broader HR team.
  • Support & Coordination
    • Partner with call‑center managers to forecast staffing needs, align shift patterns, and address operational challenges.
    • Facilitate cross‑functional projects that enhance employee experience, such as digital self‑service tools and knowledge‑base enhancements.
    • Contribute to continuous‑improvement initiatives, suggesting process refinements based on chat analytics and user feedback.

Essential Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or a closely related discipline.
  • Minimum of two (2) years of hands‑on experience in an HR role, preferably within a high‑volume call‑center or customer‑service environment.
  • Demonstrated ability to manage multiple priorities simultaneously while maintaining meticulous attention to detail.
  • Strong written communication skills, with the capacity to convey complex HR concepts clearly through chat interactions.
  • Proficiency with HR software platforms (e.g., HRIS, ATS) and the Microsoft Office Suite, especially Excel for data analysis.
  • Track record of handling confidential information with discretion and upholding the highest ethical standards.

Preferred Skills & Competencies

  • Experience using applicant tracking systems (ATS) such as Greenhouse, Lever, or Workday Recruiting.
  • Familiarity with cloud‑based HRIS solutions like BambooHR, UKG, or SAP SuccessFactors.
  • Exceptional problem‑solving aptitude, with a proactive mindset for identifying root causes and implementing sustainable solutions.
  • Empathy and active‑listening abilities that foster trust and rapport with employees across all levels.
  • Ability to interpret and apply employment legislation (e.g., FLSA, EEOC guidelines) to day‑to‑day HR activities.
  • Comfort with data visualization tools (e.g., Power BI, Tableau) to translate HR metrics into actionable insights.
