About the Role and Team

The Verification Operations Specialist supports the broader operations team by conducting thorough outbound inquiries against incoming batches of invoices and supporting documentation. Your primary mission will be to ensure that all invoices are authentic, accurate, and aligned with client operating standards. Beyond verification, you will handle essential administrative tasks such as data processing, new client funding coordination, and other operational initiatives as agreed upon with the Operations Manager.

On a day-to-day basis, you will receive guidance and coordination from the Verification Team Lead, who will help you prioritize workloads, navigate complex cases, and develop your expertise within the verification function. This role is ideal for someone who enjoys structured yet varied work, where no two days are exactly the same.

Key Responsibilities: How You Will Make an Impact at arenaflex

  • Maintain Asset Quality Standards: Ensure the asset quality of invoices being purchased consistently meets the credit standards established within the Factoring Group at arenaflex.
  • Adhere to Client Operating Standards: Confirm that all receivables purchased align with the specific standards and requirements set forth in client operating agreements.
  • Accurate Data Processing: Execute administrative tasks related to data processing with precision, ensuring all entries are accurate and consistent with arenaflex's established operations procedures.
  • Outbound Verification Activities: Verify invoices through outbound phone calls to debtors and, where appropriate, conduct website lookups to confirm legitimacy and accuracy.
  • Exception Identification and Documentation: Clearly identify and document new debtors, errors, missing documentation, debtors exceeding credit limits, and any other issues related to "paper" collateral for each batch of invoices reviewed.
  • Escalation of Policy Exceptions: Ensure that any policy exceptions and material issues identified during the verification process are promptly actioned and communicated to the Verifications Team Leader.
  • Best Practice Sharing: Actively share insights and implement best practices within the Factoring Operations Framework (FOF) to continuously improve team performance and outcomes.
  • Client Funding Support: Assist in coordinating new client funding processes, ensuring all required verifications are complete and documentation is in order before funds are released.
  • Cross-Functional Collaboration: Work closely with internal stakeholders, including the Operations Manager and Verification Team Lead, to ensure seamless workflow management and resolution of complex cases.
