[Remote] Project Manager, Intake Operations

The Project Manager, Intake Operations is responsible for leading cross-functional campaign launches, technology enhancements, and operational improvement initiatives, ensuring efficient execution and seamless system integrations.

Responsibilities

• Lead end-to-end execution of new campaign launches and relaunches across multiple departments
• Drive process improvements and leverage data analytics to increase campaign efficiency and speed to market
• Maintain and manage centralized campaign tracking tools (e.g., ADO, Monday.com) to ensure visibility and accountability
• Facilitate recurring cross-functional meetings to align on priorities, timelines, and deliverables
• Conduct periodic workflow reviews to ensure alignment with evolving technologies and business needs
• Gather, analyze, and document business requirements from executive leadership and key stakeholders
• Translate business needs into clear, actionable technical requirements, use cases, and workflows
• Develop and maintain intake processes, approval workflows, and supporting documentation
• Create and update Standard Operating Procedures (SOPs) to support operational consistency and scalability
• Lead QA and User Acceptance Testing (UAT) efforts for system enhancements, integrations, and CRM updates
• Partner with technical teams to validate functionality and ensure successful implementation
• Document test results, identify defects, and recommend improvements to enhance system performance and reliability
• Analyze operational and campaign data to identify trends, inefficiencies, and opportunities for improvement
• Evaluate existing workflows and recommend optimization strategies, particularly within campaign setup and intake processes
• Deliver actionable insights to improve team performance and overall business outcomes
• Plan, manage, and track multiple concurrent projects related to operational and technology initiatives
• Ensure projects are delivered on time, within scope, and aligned with organizational objectives
• Develop reports, dashboards, and presentations using tools such as Excel and Salesforce
• Communicate project status, insights, and recommendations to stakeholders through clear, data-driven reporting

Skills

• Bachelor's degree in Business Administration, Information Systems, Project Management, or a related field
• 3–5 years of experience in project management, business analysis, QA analysis, or a related role
• Strong experience managing multiple complex projects simultaneously
• Proficiency with project management and collaboration tools (e.g., ADO, Notion, Monday.com)
• Experience with QA testing methodologies, UAT processes, and system integration validation
• Demonstrated ability to translate business requirements into technical solutions
• Strong analytical, problem-solving, and organizational skills
• Advanced proficiency in data analysis, reporting, and visualization (e.g., Excel, Salesforce)
• Excellent communication skills with the ability to collaborate across all levels, including executive leadership
• Project Management Professional (PMP) or equivalent certification
• Experience in CRM-driven environments and operational process improvement initiatives
• Background in data analytics or performance optimization
