POSITION INFORMATION: BASIC DETAILS Location: Surprise, AZ Full-Time/Part-Time: Full-time FLSA Status: Non-Exempt/Hourly Travel Requirement: No Teleworking: No Pay: $27.25/hr. ($22.16/hr. base rate + $5.09 H&W)

POSITION SUMMARY INFORMATION: DUTIES AND REQUIREMENTS Position Overview: In this role, you will support healthcare operations within the detention facility by maintaining, organizing, securing, and processing resident medical records and healthcare documentation in accordance with government detention standards, HIPAA requirements, and facility policies. You will work closely with healthcare providers, nursing personnel, behavioral health staff, and administrative personnel to ensure medical records are accurate, complete, and accessible for authorized healthcare operations. This position requires strong organizational skills, attention to detail, confidentiality, professionalism, and the ability to manage sensitive healthcare information within a secure correctional environment. Responsibilities:

  • Maintain, organize, update, and secure resident medical records, healthcare files, treatment documentation, and clinical information in both electronic and physical formats.
  • Process medical documentation including intake screenings, treatment notes, laboratory results, prescriptions, referrals, discharge paperwork, and healthcare reports accurately and efficiently.
  • Ensure healthcare records are complete, properly filed, and maintained in compliance with HIPAA requirements, government detention standards, and facility operational procedures.
  • Coordinate with physicians, nurses, behavioral health personnel, pharmacy staff, and healthcare administrators regarding medical documentation and records management activities.
  • Process requests for medical records, healthcare documentation, and authorized information releases while maintaining confidentiality and proper chain-of-custody procedures.
  • Maintain accurate tracking systems for resident healthcare appointments, referrals, treatment plans, and continuity of care documentation.
  • Conduct audits and reviews of medical records to identify missing documentation, filing discrepancies, incomplete information, or compliance concerns.
  • Operate healthcare record systems, databases, scanners, and office equipment used for medical documentation and records management functions.
  • Prepare healthcare reports, operational summaries, compliance documentation, and records-related reports for healthcare leadership and facility management review.
  • Ensure secure storage and proper handling of confidential medical information, resident healthcare records, and sensitive clinical documentation at all times.
  • Support audits, inspections, accreditation reviews, and compliance assessments related to healthcare documentation and records management operations.
  • Maintain professionalism, confidentiality, strong organizational skills, and attention to detail while supporting safe and efficient healthcare operations within the detention facility.

Qualifications:

  • Must possess a minimum of one (1) year of verifiable experience navigating and managing Electronic Health Records (EHR/EMR) systems (e.g., Epic, Cerner, MHS GENESIS, or VistA/CPRS) within a clinical or hospital setting.
  • Must possess either RHIT (Registered Health Information Technician) OR CEHRS (Certified Electronic Health Records Specialist) OR similar nationally recognized certification.
  • Must be able to provide proof of citizenship or legal US work authorization.
  • If prior active-duty military, must provide copies of DD214(s) showing discharge condition.
  • Must consent to fingerprinting.
  • Must be at least 21 years of age.
  • Must possess a high school diploma or equivalent
  • Clean criminal record and ability to pass a comprehensive background check and security screening.
  • Ability to pass a preemployment medical assessment and drug screening.
  • Excellent communication, observation, and report-writing skills.
  • Ability to remain calm and effective under pressure and in high-stress situations.
  • Ability to work flexible shifts, including nights, weekends, and holidays.

Work Environment: Employees may be exposed to extreme cold or hot weather conditions, fumes, or airborne particles, toxic or caustic chemicals, and loud noise. Physical Requirements: Employees may be required to remain in a stationary position, stand, push, pull, climb, kneel, crawl, balance, squat, bend, and reach. Employees may be also required to use gear to move items around, including, but not limited to, carts and dollies. Employees may also be occasionally required to lift and/or move up to 49 pounds.
