Key Responsibilities

Data Entry & Management

  • Accurately input member, provider, and claims data into arenaflex’s proprietary systems, maintaining a 99.9% error‑free rate.
  • Perform routine data validation, cleansing, and reconciliation to guarantee data integrity across multiple platforms.
  • Generate and distribute regular reports for compliance, audit, and performance‑tracking purposes.
  • Collaborate with IT and analytics teams to identify opportunities for automation and process improvement.

Customer Service & Member Support

  • Respond to inbound calls, emails, and chat inquiries from members, providers, and partners with empathy and professionalism.
  • Resolve complex service issues, escalating when necessary, while maintaining ownership until closure.
  • Document all interactions in the CRM system, ensuring accurate case histories and follow‑up actions.
  • Educate callers on arenaflex’s health plans, benefits, and digital tools, promoting self‑service options.

Payroll Administration

  • Process weekly and bi‑weekly payroll for arenaflex’s administrative and support staff, adhering to federal, state, and local regulations.
  • Maintain employee records, tax withholdings, and benefit deductions within the payroll software.
  • Conduct payroll audits, reconcile discrepancies, and prepare month‑end reports for finance leadership.
  • Assist with year‑end tax filings (W‑2, 1099) and respond to employee payroll inquiries.

Virtual Assistant & Executive Support

  • Provide calendar management, meeting coordination, and travel arrangements for senior leaders.
  • Prepare presentations, spreadsheets, and correspondence, ensuring high‑quality formatting and accuracy.
  • Manage project timelines, track deliverables, and follow up with cross‑functional teams to keep initiatives on schedule.
  • Perform ad‑hoc research, data compilation, and reporting tasks as requested by management.

Essential Qualifications

  • Education: High school diploma or GED required; associate’s or bachelor’s degree in Business Administration, Health Information Management, or related field preferred.
  • Experience: Minimum 2 years of combined experience in data entry, customer service, and payroll processing, preferably within a healthcare or insurance environment.
  • Technical Proficiency: Strong command of Microsoft Office Suite (Excel, Word, Outlook) and familiarity with payroll software (e.g., ADP, Paylocity) and CRM platforms.
