Job Overview The Centralized Scheduler position is responsible for pre-registering and scheduling patient appointments for assigned services to the appropriate location with appropriate providers in an attentive and courteous manner. Directs calls to appropriate area for services not provided in Centralized Scheduling. Receives requests for information and ensures that material is distributed in a timely manner. Schedules, admits, and pre-authorizes insurance for all patients in area assigned. Acting as the first point of contact for our system, the Centralized Scheduler will partner with the caller/patient to facilitate an empathetic and compassionate solution, assisting the patient in navigating our complex system. Ability to work in a remote environment, maintaining quality and performance expectations in a self-directed manner.

Responsibilities

Schedules and/or facilitates scheduling of diagnostic tests, clinical appointments and/or consultations in Primary Care, Specialty Clinics or Hospital including Ancillary Schedules Confirms appointment for the next business day for all incoming calls Coordinates patient flow correctly schedules with physician/authorized practitioner. Answers phones, and performs general clerical tasks for department when required Completes full patient registration process. Verifies patient demographic and insurance information. Verifies insurance eligibility via online access. Initiates process to establish company accounts for worker’s compensation patients/MVA. Identifies restriction codes and refers patient appropriately. Makes any necessary changes to account maintenance module. Effectively uses communication systems for both routine and emergency transactions. Use effective communication tools and skills Performs telephone message taking and directs communication in a timely and professional fashion Accurately routes call to other members of the team Communicates with patients regarding messages Effectively uses communication systems for both routine and emergency transactions Effectively communicates normal test results either through the direction of the RN or provider or by following established protocols, Continues to be up to date with all modes of communication email, meetings, etc. Effectively manages difficult interactions using de-escalation skills and escalates to leadership as appropriate Manage multiple technology applications Manages MyChart requests including patient sign-up, responding to patient messages, and resetting passwords Assists with management of team inbox in Epic As a member of the care team, continuously improve work processes, environment, and the overall experience to serve customers and meet business goals: Identify opportunities for improvement in workflow. Participate in meetings to support initiatives Communicate appropriately with team members Engage in change to improve the work environment and patient experience Demonstrates ability to provide care or service adjusting approaches to reflect developmental level of population served. Partners with patient/caregiver in care/decision making. Communicates in a respectful manner. Ensures a safe, secure environment. Individualizes plan of care to meet patient needs. Modifies clinical interventions based on population served. Provides patient education based on an assessment of learning needs of patient/caregiver. Organization Expectations, as applicable: Demonstrates ability to provide care or service adjusting approaches to reflect developmental level and cultural differences of population served. Partners with patient care giver in care/decision making. Communicates in a respective manner. Ensures a safe, secure environment. Individualizes plan of care to meet patient needs. Modifies clinical interventions based on population served. Provides patient education based on as assessment of learning needs of patient/care giver. Fulfills all organizational requirements. Completes all required learning relevant to the role. Complies with and maintains knowledge of all relevant laws, regulation, policies, procedures and standards. Fosters a culture of improvement, efficiency and innovative thinking. Performs other duties as assigned. Required Qualifications 2 years in a direct customer facing sales or service setting

Preferred Qualifications

A.A./A.S.
