Responsibilities: Quality Management System (QMS) Administration Maintain and support the company’s Quality Management System (QMS). Administer document control processes including creation, revision, approval, distribution, and archival of quality documents. Ensure all controlled documents, procedures, work instructions, and forms are current and properly maintained. Monitor document revision status and ensure obsolete documents are removed from circulation. Support system administration activities within quality management software platforms (e.g., ZenQMS or equivalent systems). Compliance & Regulatory Support Ensure compliance with company quality policies, procedures, customer requirements, and applicable industry standards. Assist with maintaining compliance with ISO standards, customer specifications, and regulatory requirements as applicable. Support internal and external audits by preparing documentation, records, and audit materials. Track audit findings, corrective actions, and follow-up activities to ensure timely closure. Maintain quality records in accordance with retention requirements and company standards. Assist with tracking and administration of corrective and preventive action activities. Monitor CAPA timelines and ensure required documentation is completed accurately and on time. Support root cause investigations related to quality issues, nonconformances, customer complaints, and audit findings. Maintain records related to nonconforming material and corrective action activities. Corrective & Preventive Actions (CAPA) Training Administration Maintain employee quality training records and training matrices. Coordinate required quality and compliance training activities. Ensure employees complete required training within established timelines. Assist with onboarding and training documentation related to quality procedures and systems. Records & Reporting Complete and maintain quality records, reports, and documentation accurately and timely. Prepare quality metrics, KPI reports, audit summaries, and compliance reports for leadership review. Maintain inspection records, calibration records, customer quality documentation, and other quality-related files. Support data collection and reporting activities related to quality performance indicators. Operational Support Collaborate with manufacturing, engineering, warehouse, and operations teams to support quality objectives. Assist with investigations related to product quality, process deviations, and customer concerns. Support continuous improvement initiatives focused on quality, compliance, efficiency, and process standardization. Participate in quality meetings, safety meetings, and operational review discussions as required. Timekeeping Support Assist employees with clock-in/clock-out issues. Review and maintain time records. Coordinate with HR/payroll on discrepancies. Guide employees on timekeeping procedures. Safety & Compliance Ensure compliance with all company safety policies and OSHA requirements. Maintain clean and organized work areas in accordance with company standards. Participate in required safety training and meetings. Promote safe work practices and adherence to operational procedures. Qualifications (Education, Experience, Physical Requirements, Core Competencies): Education & Experience Associate degree or bachelor’s degree in Quality Management, Business Administration, Manufacturing, or related field preferred. 2–5 years of experience in quality assurance, document control, compliance, or manufacturing administration preferred. Experience working within a Quality Management System (QMS) environment preferred. Knowledge of ISO standards, quality systems, CAPA processes, and document control procedures preferred. Experience using quality management software systems such as ZenQMS or similar platforms preferred. Strong organizational, communication, analytical, and administrative skills. Proficiency in Microsoft Office applications including Excel, Word, and PowerPoint a must. Ability to manage multiple priorities in a fast-paced manufacturing or industrial environment. Physical Requirements Ability to sit, stand, and move throughout office and manufacturing environments as needed. Ability to occasionally lift and/or move files, boxes, or materials up to 25 pounds. Ability to work on a computer for extended periods.
