Part-Time Event Coordinator

We are a growing event planning and content creation business seeking a highly skilled, detail-oriented, and proactive Part-Time Event Coordinator. The ideal candidate will have extensive experience in event planning and coordination, ensuring seamless execution of events. Responsibilities include managing event logistics, coordinating with vendors, and ensuring all event details are meticulously handled. The role requires excellent communication skills and the ability to work independently.

Key Responsibilities

Administrative & Systems - Learn, manage, and optimize automations within HoneyBook - Stay up to date with new HoneyBook features and automations and implement them as they roll out - Create and send invoices to clients - Maintain and improve our payroll Excel document for better accuracy and efficiency - Build and manage Google Forms with custom questions for clients, vendors, and internal use - Build and maintain a Vendor List for events and creative projects Creative & Marketing Support - Create polished event decks (presentations / pitch decks) for clients and events - Assist with creative design tasks as needed (graphics, layouts, simple visual content) - Schedule social media posts for our creative agency across platforms - Provide light marketing support (research, outreach prep, content scheduling, etc.) Bonus Skills - Exposure to or experience with AI automations using Claude is a strong plus ✅ Who You Are - Highly skilled in administrative and digital tools - Detail-oriented — you catch the small things others miss - Proactive — you don't wait to be told what to do; you anticipate needs - Comfortable working across both administrative and creative tasks - Reliable — you show up consistently and meet deadlines - A strong communicator — clear, prompt, and professional - Self-driven, with the initiative to flag issues and propose solutions - Excited to grow long-term with a small, growing business ️ Tools You'll Use - HoneyBook (CRM & automations) - Google Workspace (Forms, Docs, Sheets, Drive) - Microsoft Excel - Canva / design tools (for creative work) - Social media scheduling platforms - Claude AI (bonus) Compensation & Schedule - Hourly Rate: $7/hour - Hours: ~4 hours/day, Monday through Thursday (Fridays off) - Weekly Total: ~16 hours/week - Pay Schedule: Biweekly - Holidays & PTO: Initially unpaid.
