The School Engagement Customer Service Representative is a critical hub in arenaflex’s national school‑based campaigns, including the Kids Heart Challenge and the arenaflex Challenge. These initiatives connect millions of students, educators, and volunteers with life‑saving heart health education. By delivering exceptional service, precise data management, and seamless administrative support, you will help ensure that each campaign runs smoothly, meets its fundraising goals, and maximizes its educational impact.

Position Overview

This is a fully remote, full‑time role based in Texas (USA). You will work closely with internal teams, senior leadership, external partners, volunteers, parents, and school staff. Your day‑to‑day responsibilities will blend customer service excellence, data stewardship, project coordination, and high‑level administrative support. Success in this role requires a proactive mindset, meticulous attention to detail, and the ability to adapt quickly to evolving processes and technology platforms.

Key Responsibilities

Customer Service Excellence

  • Provide timely, courteous, and accurate responses to internal and external inquiries via email, phone, and the internal inbox system.
  • Build and nurture strong relationships with staff, volunteers, parents, and school administrators, ensuring a positive experience throughout the campaign lifecycle.
  • Escalate complex issues to appropriate teams while maintaining ownership of the resolution process.

Data Management & System Proficiency

  • Enter, verify, and maintain donor and participant data in CRM platforms such as Dynamics and Luminate, adhering to strict quality standards and deadlines.
  • Generate weekly and monthly reports, ensuring metrics are accurate, complete, and delivered on schedule.
  • Collaborate with the reports team to track campaign performance, identify trends, and recommend data‑driven improvements.

Business Literacy & Process Support

  • Develop a deep understanding of arenaflex’s School Engagement business processes, including fundraising, event coordination, and educational outreach.
  • Utilize internal systems to streamline workflows, reduce manual effort, and enhance overall campaign efficiency.
  • Continuously seek opportunities to refine processes, document best practices, and share knowledge across the team.

Project & Team Collaboration

  • Participate in cross‑functional mini‑teams, contributing to task completion, deadline adherence, and quality assurance.
  • Assist senior leadership with calendar management, expense reporting, and other administrative duties to keep projects on track.
  • Facilitate effective communication among team members, ensuring everyone has the information they need to succeed.

Donation Processing & Compliance

  • Accurately process donations, adhering to arenaflex’s financial standards and regulatory requirements.
  • Maintain confidentiality and security of donor information, following best practices for data protection.

Required Qualifications

  • Customer‑service mindset: Proven ability to handle inquiries, resolve issues, and deliver timely, courteous solutions.
  • Interpersonal skills: Demonstrated success building collaborative relationships with diverse internal and external stakeholders.

Compensation, Perks & Benefits
