As a Data Entry & Invoice Reconciliation Analyst on a six‑month temporary assignment, you will be the guardian of financial integrity, ensuring that every purchase requisition, invoice, and vendor interaction is captured flawlessly. Key Responsibilities

Data Entry & Requisition Management

  • Enter, validate, and maintain data in arenaflex Sheets or equivalent spreadsheet platforms with a focus on speed and 99.9% accuracy.
  • Review purchase requisitions for completeness, policy compliance, and proper coding before they enter the approval workflow.
  • Collaborate with internal stakeholders—including procurement, finance, and project teams—to resolve ambiguous or incomplete requisitions promptly.
  • Maintain an organized audit trail of changes, ensuring traceability for future reviews and audits.

Invoice Review & Reconciliation

  • Receive and scrutinize incoming invoices, confirming that amounts, tax calculations, and line‑item details align with purchase orders and receipt documentation.
  • Perform three‑way matching (invoice, purchase order, receipt) using pivot tables, VLOOKUPs, and other advanced spreadsheet functions.
  • Investigate and resolve discrepancies, such as duplicate charges, pricing variances, or missing documentation, escalating complex issues to senior finance partners when necessary.
  • Partner closely with the Accounts Payable team to ensure timely processing, accurate posting, and adherence to payment terms.

Vendor & Stakeholder Communication

  • Act as the primary liaison between arenaflex’s internal teams and external vendors, fielding inquiries, clarifying invoice details, and negotiating adjustments.
  • Proactively follow up on missing or incomplete documentation, ensuring vendors receive clear guidance on required information.
  • Document all communications in the vendor management system to preserve a complete record of interactions.

Insurance & Compliance Checks

  • Review vendor insurance certificates and related compliance documentation to confirm they meet arenaflex’s contractual requirements.
  • Flag any gaps or expirations and coordinate with internal risk and legal teams to secure timely renewals or corrective actions.
  • Maintain a compliance dashboard that highlights upcoming expirations and outstanding items for senior leadership review.

Essential Qualifications

  • Minimum 2 years of experience in data entry, procurement, accounts payable, or finance operations.
  • Proficiency with spreadsheet software (arenaflex Sheets, Excel) including VLOOKUP, INDEX/MATCH, filters, pivot tables, and conditional formatting.
  • Demonstrated ability to maintain high accuracy while processing large volumes of transactional data.
  • Strong written and verbal communication skills, with a track record of effective vendor and cross‑functional collaboration.
  • Experience performing invoice reconciliation, three‑way matching, and resolving payment discrepancies.

  • Exposure to ERP or financial management systems (e.g., SAP, Oracle NetSuite, or similar platforms).
  • Knowledge of basic accounting principles and the accounts payable lifecycle.
