Why This Role Matters

As a Remote Medical Billing Customer Support Specialist, you will be the first point of contact for new patients, referral sources, and internal teams. Your expertise will ensure that every order is entered accurately, insurance eligibility is verified, and billing documentation meets the highest standards of compliance. By bridging the gap between clinical care and financial reimbursement, you directly contribute to the seamless delivery of essential health services and the financial health of both patients and arenaflex.

Key Responsibilities

  • Serve as the primary intake specialist for new orders, handling phone calls, faxes, and electronic submissions with professionalism and speed.
  • Collect and verify patient demographics, referral source details, and insurance information, ensuring all data is entered correctly into the eIntake and IMBS systems.
  • Conduct thorough insurance verification and eligibility checks for all products and services, documenting authorizations and qualifications.
  • Gather co‑pays, deductibles, and other patient‑responsible amounts, communicating clearly about financial responsibilities.
  • Perform patient satisfaction outreach, acting as an advocate to resolve concerns, answer product questions, and provide education on home‑care equipment.
  • Maintain up‑to‑date knowledge of Medicare, Medicaid, private payer policies, FDA/DOT regulations, and JCAHO guidelines to ensure compliance.
  • Prepare complete, accurate files for the Billing Department, including all necessary documentation for medical necessity and reimbursement.
  • Process work orders to field locations, coordinating timely fulfillment of equipment and services.
  • Identify opportunities for process improvement and share ideas with supervisors to enhance efficiency and accuracy.
  • Provide detailed quality‑assurance reviews of all intake documentation, flagging any gaps that could affect reimbursement.
  • Collaborate with internal teams—including the CPAP Centralized Care Team, field management, and clinical staff—to ensure seamless patient experiences.
  • Utilize the proprietary eIntake platform extensively, troubleshooting issues and suggesting enhancements.
  • Perform additional duties as assigned, supporting the broader goals of arenaflex’s customer‑centric culture.

Essential Qualifications

  • High school diploma or GED equivalent (required).
  • 1–3 years of experience in a team‑oriented environment, preferably within medical billing, health‑care administration, or related fields.
  • Demonstrated ability to manage multiple tasks simultaneously while maintaining meticulous attention to detail.
  • Strong customer‑service orientation with a track record of building positive relationships with patients, referral sources, and internal stakeholders.
  • Proficiency in medical terminology, billing practices, and reimbursement processes.
  • Excellent written and verbal communication skills in English; ability to convey complex information clearly and courteously.
  • Competence with Microsoft Office Suite (Word, Excel) and comfort navigating internet‑based applications.
  • Ability to maintain confidentiality and handle sensitive health information with discretion.
  • Physical ability to lift up to 10 lb and remain seated for extended periods while performing computer‑based tasks.

Preferred Qualifications & Additional Skills

  • Experience with electronic health record (EHR) or medical billing software beyond eIntake, such as Epic, Cerner, or similar platforms.
  • Familiarity with HIPAA regulations and best practices for data security.
  • Previous exposure to CPAP, ventilator, or home‑care equipment product lines.
  • Demonstrated problem‑solving abilities, including the capacity to diagnose and resolve billing discrepancies quickly.
  • Self‑motivated, organized, and capable of thriving in a fully remote work environment.
  • Valid driver’s license and clean driving record (required for occasional field visits, if applicable).
