Position Overview

We are seeking a meticulous and proactive Data Entry and Timesheet Verification Specialist to join our dynamic payroll operations team. This role is pivotal in processing high‑volume PCA timesheets for the Stoughton, Springfield, and Danvers regions of Massachusetts. The successful candidate will combine strong technical aptitude with an eye for detail, ensuring that every timesheet is accurately captured, verified, and entered into our payroll system while adhering to strict confidentiality and regulatory standards.

Key Responsibilities

  • Review electronic PCA timesheets generated by OCR (Optical Character Recognition) software, confirming that all required fields are complete and accurate.
  • Perform high‑volume manual entry of timesheets into arenaflex’s payroll platform, applying appropriate coding and rate structures.
  • Investigate and resolve discrepancies, missing data, or anomalies in timesheets, collaborating with supervisors, care providers, and payroll staff as needed.
  • Document and track all investigation outcomes, ensuring transparent audit trails for future reference.
  • Report any suspected incidents of consumer sexual or physical abuse, neglect, or other violations to the Disabled Person Protection Commission (DPPC) in accordance with state law.
  • Maintain strict confidentiality of all client, employee, and financial information, following HIPAA and state privacy regulations.
  • Assist the Timesheet Management Supervisor with ad‑hoc projects, data analysis, and process improvement initiatives.
  • Continuously update knowledge of the Fiscal Intermediary Program and the PCA Program to ensure compliance with evolving regulations.
  • Provide timely feedback to the OCR development team on software accuracy, helping to refine automated data capture processes.
  • Participate in regular team meetings, sharing insights and best practices to enhance overall operational efficiency.

Essential Qualifications

  • Education: High School Diploma or equivalent; additional coursework in business administration, accounting, or related fields is a plus.
  • Technical Proficiency: Demonstrated experience with office equipment (computers, scanners, printers, fax machines) and familiarity with payroll or HRIS software.
  • Typing Speed & Accuracy: Minimum 60 words per minute with a high degree of accuracy; experience with ten‑key data entry is highly desirable.
  • Analytical Skills: Ability to interpret OCR‑generated data, identify missing or inconsistent information, and apply logical problem‑solving techniques.
  • Confidentiality & Ethics: Proven track record of handling sensitive information responsibly and adhering to privacy regulations.
  • Attention to Detail: Consistently produces error‑free work, even under tight deadlines and high‑volume conditions.
  • Team Orientation: Strong collaborative mindset, willing to support colleagues and share knowledge to achieve collective goals.
  • Self‑Motivation & Dependability: Demonstrates punctuality, reliability, and a proactive approach to learning new processes.

Preferred Experience & Skills

  • Prior experience in a high‑volume data entry or payroll environment, especially within human services or healthcare sectors.
  • Proficiency with Microsoft Excel, including formulas, pivot tables, and basic data manipulation.
  • Experience using OCR tools and an ability to troubleshoot common recognition errors.
  • Familiarity with state‑mandated reporting requirements for disability services.
  • Excellent written and verbal communication skills, enabling clear interaction with care providers, supervisors, and external agencies.
  • Ability to adapt quickly to evolving software platforms and procedural updates.
  • Demonstrated commitment to continuous improvement, with suggestions for workflow enhancements welcomed.

Work Environment & Physical Demands

Our team operates from a professional office setting in Massachusetts, equipped with standard office technology. The role involves prolonged periods of sitting at a workstation, frequent use of a keyboard and mouse, and occasional standing or walking to retrieve documents. Physical demands include the ability to talk and hear clearly, manipulate small objects (e.g., handling paperwork, using a ten‑key pad), and reach for equipment within a typical office layout. No travel is required for this position.
