Position Overview

The Customer Service Support Specialist (CSA) serves as the primary liaison between arenaflex’s Customer Service Department and our valued clients, carriers, and vendors. This role is pivotal in guaranteeing that inquiries, service requests, and logistical challenges are addressed promptly, accurately, and with a customer‑centric mindset. Reporting directly to the Customer Service Director, the CSA will manage a high volume of communications, coordinate appointments, maintain meticulous records, and collaborate with internal teams to resolve issues that impact service delivery.

Key Responsibilities

Customer Interaction & Communication

  • Serve as the first point of contact for customers and vendors via phone, email, and in‑person interactions.
  • Respond to inquiries, service requests, and complaints with professionalism, empathy, and urgency.
  • Maintain clear, concise, and documented communication logs for each interaction.
  • Proactively follow up on open tickets to ensure timely resolution and customer satisfaction.

Appointment Scheduling & Coordination

  • Schedule, confirm, and adjust appointments for pickups, deliveries, and service visits.
  • Coordinate with dispatch, drivers, and warehouse staff to align schedules and avoid conflicts.
  • Notify customers of any changes, delays, or special requirements well in advance.

Record Keeping & Data Management

  • Accurately record all customer and vendor interactions in arenaflex’s CRM system.
  • Maintain organized files, spreadsheets, and reports that track service metrics, transit times, and issue resolution rates.
  • Generate routine reports for the Customer Service Director to highlight trends and opportunities for improvement.

Problem Solving & Issue Resolution

  • Identify root causes of service disruptions, missed appointments, or billing discrepancies.
  • Collaborate with internal departments—such as Operations, Billing, and Compliance—to develop and implement corrective actions.
  • Escalate complex issues to senior leadership when necessary, while ensuring customers are kept informed throughout the process.

Business Development Support

  • Represent arenaflex in a professional manner that reinforces our brand reputation.
  • Identify opportunities to upsell or cross‑sell additional logistics services based on customer needs.
  • Assist the sales team with lead qualification and follow‑up activities.

Essential Qualifications

  • Education: High school diploma or equivalent; additional coursework or certifications in business administration, logistics, or related fields is a plus.
  • Experience: Minimum of 1–2 years of customer service experience, preferably within the transportation, freight, or logistics sector.
  • Industry Knowledge: Familiarity with trucking terminology, freight classifications, and basic supply‑chain concepts is advantageous.
  • Technical Proficiency: Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM or transportation management software.
  • Communication Skills: Excellent verbal and written communication abilities; capable of conveying complex information in a clear, concise manner.
  • Analytical Ability: Comfortable performing calculations related to transit times, distances, and service windows.
  • Organizational Skills: Demonstrated ability to prioritize tasks, manage multiple requests simultaneously, and meet tight deadlines.
  • Interpersonal Skills: Ability to build rapport with diverse stakeholders, including drivers, dispatchers, vendors, and senior management.

Preferred Qualifications & Attributes

  • Experience using transportation management systems (TMS) such as McLeod, MercuryGate, or similar platforms.
  • Certification in Customer Service Excellence (e.g., CCSP, HDI Customer Service Representative).
  • Proven track record of improving customer satisfaction scores or reducing response times.
  • Ability to work flexible hours, including occasional evenings or weekends, to accommodate peak shipping periods.
  • Strong problem‑solving mindset with a proactive approach to identifying and mitigating service risks.
