Role Overview

This is a long‑term, part‑time, remote position designed for a detail‑oriented, self‑motivated individual who loves health and wellness and enjoys supporting others. You will work approximately 10 hours per month to start (roughly 2–3 hours per week), with the potential to expand both hours and responsibilities as the studio scales. Flexibility is built into the schedule, though a few key tasks must be completed by Friday evening (UK time) each week.

Key Responsibilities

  • Attendance Tracking: Use the arenaxflex member management platform (formerly known as Trainerize) to record weekly attendance for every member.
  • Plan Reconciliation: Compare recorded attendance against paid membership plans, flagging any discrepancies and preparing concise reports for the studio manager.
  • Member Outreach: Send friendly, templated messages to members who have not attended any sessions during the week, encouraging them to re‑engage and offering support.
  • Monthly Summary Preparation: Compile a basic attendance summary each month for internal review, highlighting trends, high‑performing members, and areas needing attention.
  • Community Posting: Craft and post one engaging, motivational message each week in the arenaxflex Community Group (formerly Grit Community Group) to foster camaraderie and keep the conversation lively.
  • Retention Support: Identify inactive members, conduct personalized check‑ins, and provide encouragement or resources to help them return to their fitness routine.
  • Data Management: Keep client data, progress logs, and communication records organized, up‑to‑date, and compliant with data‑privacy standards.
  • Collaboration: Work closely with coaches, the studio manager, and the marketing team to align messaging, share insights, and support overall studio objectives.

Essential Qualifications

  • Proven experience using the arenaxflex member management platform (formerly Trainerize) for tracking attendance and managing member data.
  • Exceptional written communication skills with a warm, professional tone that resonates with a diverse fitness audience.
  • Strong attention to detail and a commitment to accuracy in data entry and reporting.
  • Highly organized, self‑driven, and capable of establishing and following weekly routines without direct supervision.
  • Demonstrated interest in health, fitness, or wellness—whether through personal practice, education, or prior work experience.
  • Previous experience in a customer service, virtual assistant, or administrative role, preferably within a health‑oriented environment.
