Position Overview

The Data Entry & Mail Room Processing Clerk plays a pivotal role in the end‑to‑end lifecycle of dental claim handling at arenaflex. This position blends meticulous data entry, hands‑on mailroom operations, and quality‑focused imaging to guarantee that every claim moves through the OCR system efficiently and accurately. You will be the frontline guardian of data integrity, ensuring that claims are opened, sorted, prepared, and scanned in accordance with strict turnaround and quality standards.

Key Responsibilities

  • Data Entry Excellence: Accurately key claim information into the claims management system, consistently meeting or exceeding the monthly production standard.
  • Rapid Turnaround: Achieve a 1‑day turnaround for Arkansas (AR) claims and a 2‑day turnaround for New Jersey (NJ) and Tennessee (TN) claims, ensuring timely processing for providers and patients.
  • Quality Assurance Leadership: Maintain an individual QA quota of 99% or higher, contributing to both personal and team quality goals.
  • Mailroom Operations: Sort, prep, count, and scan incoming claim packets for imaging, handling both automated and manual mail streams.
  • Manual Mail Handling: Open and process mail that cannot be processed by automated openers, ensuring no claim is left behind.
  • Imaging Technology Utilization: Operate the P & R Imager to capture high‑resolution X‑ray films and other supporting documentation.
  • Performance Metrics Management: Meet departmental performance goals, including scanner utilization, OPEX opener efficiency, and weekly claim recycling targets.
  • Document Preparation: Print emails and faxes for imaging, ensuring all electronic communications are captured in the OCR workflow.
  • Team Collaboration: Work closely with Mail Services, Claims Processing, and Quality Assurance teams to streamline processes and share best practices.
  • Continuous Improvement: Identify opportunities to enhance workflow efficiency, reduce errors, and support the broader objectives of arenaflex.
  • Additional Duties: Perform other related tasks as assigned to support the primary responsibilities and overall success of the department.

Essential Qualifications

  • High school diploma or GED required.
  • Minimum of 1 year of data entry experience, with demonstrated proficiency in word processing, 10‑key, and alphanumeric entry.
  • Strong attention to detail and ability to maintain high accuracy under tight deadlines.
  • Basic familiarity with OCR scanning systems or a willingness to quickly learn new imaging technologies.
  • Effective communication skills and a customer‑service mindset for internal and external stakeholder interactions.
  • Ability to adhere to departmental and corporate policies, procedures, and compliance standards.
