Position Overview

We are seeking a detail‑oriented, customer‑focused Clerical Support Staff to join our Lexington, KY hub (remote work option available). This role blends core accounting functions—Accounts Receivable (AR) and Accounts Payable (AP)—with essential clerical data‑entry tasks. Key Responsibilities

  • Maintain organized, digital client files and ensure secure storage of sensitive financial documents.
  • Enter, reconcile, and post AR and AP transactions in QuickBooks Online and QuickBooks Desktop, including invoice creation, payment posting, and bill processing.
  • Match checks to vendor bills, verify amounts, and resolve discrepancies in a timely manner.
  • Generate and send email reminders for overdue invoices, ensuring a professional tone that reflects arenaflex’s brand.
  • Update and manage distribution lists, out‑of‑office responders, and contact logs for both internal staff and external clients.
  • Perform high‑volume data entry into Excel spreadsheets, maintaining accuracy with a focus on proper spelling, grammar, and formatting.
  • Scan, index, and archive paper documents using multi‑monitor setups, guaranteeing that all records are searchable and retrievable.
  • Assist with routine office tasks such as filing, organizing paperwork, and preparing reports for senior accountants.
  • Communicate professionally with clients, vendors, and teammates via phone, email, and virtual meetings, upholding arenaflex’s reputation for excellent customer service.
  • Participate in daily check‑ins with your manager during core business hours (8:00 am – 5:00 pm EST) to coordinate projects, receive training, and provide status updates.

Essential Qualifications

  • Minimum six (6) months of experience as a Bookkeeper Assistant, Office Assistant, or in a similar clerical accounting role.
  • Demonstrated proficiency with Microsoft Word, Excel, Outlook, and Adobe PDF tools.
  • Strong written communication skills, with excellent spelling, grammar, and attention to detail.
  • Basic understanding of accounting principles, particularly AR and AP processes.
  • Ability to work independently, prioritize tasks, and meet deadlines with minimal supervision.
  • Fluent English communication; bilingual Spanish is a distinct advantage.
  • Reliable high‑speed internet connection and a suitable home office environment.
