As a full‑service engineering firm, we specialize in creating detailed electrical and structural drawings, comprehensive calculation packages, and permitting documentation that enable our clients to move from concept to construction with confidence. Our portfolio includes high‑profile solar projects that set industry benchmarks for performance, reliability, and environmental impact.

Joining arenaflex means becoming part of a purpose‑driven organization where every line of code, every drawing, and every data entry contributes directly to a cleaner, more sustainable future. Our culture blends rapid growth with a collaborative spirit, offering early‑career professionals a platform to develop expertise, own meaningful work, and see the tangible results of their contributions in the world around them.

Why This Role Matters – The Project Data Entry Clerk

The Project Data Entry Clerk is a critical gateway between our sales pipeline, engineering teams, and client billing processes. By accurately setting up new projects and managing change orders within our project management system, you ensure that every solar installation proceeds on schedule, stays within budget, and meets the rigorous standards that have made arenaflex a trusted name in the industry. This position is ideal for recent graduates or professionals with 0–2 years of experience who are eager to launch a career in renewable energy, gain exposure to project management workflows, and develop a deep understanding of solar engineering operations.

Key Responsibilities

Project Setup & Initiation

  • Run daily project reports from the Customer Relationship Management (CRM) system to identify newly awarded solar projects.
  • Translate CRM data into fully configured projects within the project management application, ensuring every field aligns with internal standards.
  • Establish a detailed Work Breakdown Structure (WBS) for each project, creating task hierarchies that support accurate timesheet entry and resource allocation.
  • Define billing rules and invoicing parameters that reflect client contracts, milestone payments, and change‑order adjustments.
  • Create and organize project folders using the unique project number, providing engineering teams with a centralized repository for drawings, calculations, and correspondence.

Change Order Management

  • Generate daily change‑order reports from the CRM to capture any modifications or additions to existing projects.
  • Update the WBS for affected projects, inserting new tasks, milestones, and deliverables as required.
  • Adjust billing rules to incorporate change‑order values, ensuring that invoicing reflects the latest scope of work.
  • Collaborate closely with the Project Coordinator to verify the accuracy of change‑order data before it is entered into the system.

Purchase Order Tracking & Support

  • Assist the procurement team by monitoring client‑issued purchase orders, confirming receipt, and updating project records accordingly.
  • Provide timely follow‑up on outstanding purchase orders, escalating issues to the Project Coordinator when necessary.

Special Projects & Continuous Improvement

  • Participate in ad‑hoc initiatives such as data cleanup, process documentation, and system enhancements that improve overall project efficiency.
  • Offer suggestions for workflow automation, reporting enhancements, and best‑practice adoption based on day‑to‑day observations.

Essential Qualifications

  • Experience: 0–2 years of professional experience in a fast‑paced environment, preferably within engineering, construction, or renewable energy sectors.
  • Technical Proficiency: Strong working knowledge of Microsoft Office Suite (Excel, Word, Outlook) and comfort navigating CRM and project management tools.
  • Communication: Excellent written and verbal communication skills; ability to interact professionally with sales, engineering, and client teams.
  • Organizational Ability: Demonstrated capacity to manage multiple tasks, prioritize effectively, and maintain meticulous records.
  • Team Orientation: Proven track record of collaborating in cross‑functional teams and responding to requests from various departments.
  • Adaptability: Flexibility to thrive in a dynamic, rapidly evolving work environment and willingness to learn new software or processes as needed.

Preferred Qualifications & Additional Skills

  • Exposure to solar or renewable‑energy project workflows, including familiarity with engineering deliverables such as electrical schematics or structural calculations.
  • Experience with project management platforms (e.g., Procore, Smartsheet, Microsoft Project) or ERP systems.
  • Basic understanding of billing concepts, invoicing cycles, and change‑order accounting.
  • Strong analytical mindset with the ability to spot data inconsistencies and propose corrective actions.
  • Commitment to professional growth, demonstrated by participation in industry webinars, certifications, or relevant coursework.
