Responsibilities

As a Virtual Assistant – Call Review & Data Entry Specialist, you'll be responsible for managing and maintaining accurate call records, including:

  • Listening to recorded inbound calls: You'll be listening to recorded phone calls through our platform, carefully reviewing each conversation to ensure that all relevant information is captured.
  • Tagging and classifying each call: You'll be responsible for tagging and classifying each call, including determining whether it was answered or missed, qualified or not qualified.
  • Writing concise, clear notes for each call: You'll be writing detailed notes for each call, summarizing the key points and any relevant information.
  • Exporting filtered call logs and cleaning the data: You'll be exporting filtered call logs and cleaning the data, removing any irrelevant calls and ensuring that the information is accurate and up-to-date.
  • Transferring approved calls into a master tracking sheet: You'll be transferring approved calls into a master tracking sheet, ensuring that all relevant information is captured and easily accessible.
  • Updating client-facing logs with formatted data: You'll be updating client-facing logs with formatted data, using Google Sheets to ensure that the information is presented in a clear and concise manner.
  • Flagging issues or unusual activity for review: You'll be flagging any issues or unusual activity for review, ensuring that our team is aware of any potential problems or areas for improvement.

Requirements

To be successful in this role, you'll need to possess the following skills and qualifications:

  • Strong English comprehension: You'll be listening to U.S. phone calls, so you'll need to have excellent English comprehension skills.
  • High attention to detail: You'll be responsible for reviewing and analyzing large amounts of data, so you'll need to have a high attention to detail and be able to spot any errors or inconsistencies.
  • Experience with Excel or Google Sheets: You'll be using Excel or Google Sheets to manage and analyze data, so you'll need to have experience with these tools and be able to use formulas, formatting, and other features to extract insights and trends.
  • Ability to follow structured processes consistently: You'll be working with established processes and procedures, so you'll need to be able to follow them consistently and accurately.
  • Reliable internet connection and quiet working environment: You'll need to have a reliable internet connection and a quiet working environment to ensure that you can focus on your work and meet deadlines.

Preferred Qualifications

While not required, the following qualifications would be beneficial for this role:

  • Experience working with CRMs or call tracking tools: If you have experience working with CRMs or call tracking tools, you'll be able to hit the ground running and make a significant contribution to our team.
  • Prior role in call center QA, lead qualification, or virtual assistance: If you have experience in a call center QA, lead qualification, or virtual assistance role, you'll be able to bring valuable skills and knowledge to our team.
