Experienced Bookkeeper and Customer Service Representative – Office Operations and Financial Management

Responsibilities
As our ideal candidate, you'll be responsible for a wide range of tasks, including:
- Managing day-to-day office operations: You'll be responsible for ensuring a smooth workflow and effective communication among team members, including coordinating meetings, managing schedules, and maintaining a clean and organized workspace.
- Overseeing accounts payable and accounts receivable processes: You'll be responsible for ensuring timely and accurate processing of invoices, including managing cash flow, reconciling accounts, and maintaining accurate financial records.
- Performing bank reconciliations and balance sheet reconciliations: You'll be responsible for maintaining financial integrity by performing regular bank reconciliations and balance sheet reconciliations, ensuring that all financial records are accurate and up-to-date.
- Maintaining the general ledger accounting system: You'll be responsible for ensuring that all entries are accurate and up-to-date, including managing journal entries, reconciliations, and financial reports.
- Processing payroll accurately and on time: You'll be responsible for ensuring that payroll is processed accurately and on time, adhering to all applicable regulations and laws.
- Utilizing accounting software for financial reporting and analysis: You'll be responsible for utilizing Sage, Quicken, or other accounting software to generate financial reports and perform analysis, including budgeting, forecasting, and financial modeling.
- Assisting in corporate accounting tasks as needed: You'll be responsible for providing support during audits or financial reviews, including preparing financial statements, schedules, and other reports as required.
- Providing customer service (phone orders) as needed: You'll be responsible for providing exceptional customer service, including answering phone calls, responding to emails, and resolving customer complaints in a timely and professional manner.
Requirements
To be successful in this role, you'll need to have:
- Proven experience as an Office Manager or in a similar administrative role with a focus on accounting functions: You'll need to have a strong background in accounting and bookkeeping, with experience in managing office operations and providing administrative support.
- Strong knowledge of double entry bookkeeping principles and practices: You'll need to have a solid understanding of double entry bookkeeping principles and practices, including journal entries, reconciliations, and financial reporting.
- Proficiency in accounting software such as Sage and Quicken: You'll need to have experience using accounting software such as Sage and Quicken, including generating financial reports and performing analysis.
- Experience with payroll processing and general ledger accounting: You'll need to have experience with payroll processing and general ledger accounting, including managing cash flow, reconciling accounts, and maintaining accurate financial records.
- Excellent organizational skills with the ability to prioritize tasks effectively: You'll need to be able to prioritize tasks effectively, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
- Strong attention to detail and accuracy in all aspects of work: You'll need to have a strong attention to detail and accuracy in all aspects of work, including financial reporting, payroll processing, and customer service.
- Ability to work independently as well as collaboratively within a team environment: You'll need to be able to work independently as well as collaboratively within a team environment, including communicating effectively with team members, management, and clients.
- Excellent communication skills, both verbal and written: You'll need to have excellent communication skills, both verbal and written, including the ability to communicate complex financial information to non-financial stakeholders.
