About the Role

We're seeking a detail-oriented and reliable Customer Billing Specialist to join our team on a 6-month maternity leave cover contract, with the potential to extend. As a key member of our operations team, you'll play a crucial role in ensuring our customers have a smooth, accurate, and delightful billing experience. You'll work closely with our Sales, Customer Success, Support, and Finance teams to manage everything from invoicing to payments to vendor forms.

What You'll Do

As a Customer Billing Specialist at arenaflex, your responsibilities will include:

  • Managing Stripe operations: create new customers and subscriptions, issue invoices, handle disputes, and monitor unusual activity.
  • Setting up and maintaining Chargebee records: assist Customer Success Managers with renewals, support Account Executives with new customer setups, and enable direct debit payment arrangements.
  • Overseeing Accounts Receivable: generate weekly reports, track outstanding invoices, and collaborate with CSMs to follow up with overdue customers.
  • Monitoring and reporting on AR to support weekly cash flow analysis.
  • Providing timely and thoughtful responses to customer queries via the billing inbox.
  • Taking ownership of the Billing Slack channel, helping resolve complex billing-related support cases with the Support Team.
  • Drafting and submitting vendor forms when required by customers.
  • Reconciling Hubspot closed-won deals: ensure all deals are properly billed via invoice or Stripe and follow up on missing setups.
  • Keeping ChartMogul in sync: ensure all new, expanded, and renewing customers are reflected correctly.

About You

To succeed in this role, you'll need:

  • Excellent command of English, with strong written and verbal communication skills.
  • Experience in billing, accounts receivable, or finance operations, ideally in a SaaS or tech environment.
  • Familiarity with Stripe, Chargebee, and Hubspot (or similar tools) and confidence navigating them.
  • Detail-oriented and strong organizational skills, with a focus on accuracy and attention to detail.
  • Clear and empathetic communication skills, especially in writing.
  • Ability to thrive in a remote, asynchronous environment and take initiative.
  • Experience working with cross-functional teams, including Sales, Customer Success, and Support.

Bonus Points

While not required, experience with the following would be a bonus:

  • Experience with ChartMogul or other SaaS analytics tools.
  • Background working in startups or fast-growing companies.
  • Familiarity with customer support tools like HelpScout.
