Responsibilities:

As an Administrative Assistant & Data Entry Clerk, your primary responsibilities will include:

  • Planning and organizing meetings, including the meticulous recording of meeting minutes
  • Composing, distributing, and managing email correspondence, memos, letters, faxes, and forms
  • Assisting in the preparation of routine reports
  • Establishing and maintaining an efficient filing system
  • Keeping office policies and procedures up to date
  • Managing procurement of office supplies and researching potential suppliers and deals
  • Maintaining contact lists for easy reference
  • Coordinating and making travel arrangements
  • Preparing and reconciling expense reports
  • Providing general assistance to visitors as needed
  • Serving as the primary point of contact for both internal and external clients
  • Collaborating with executive and senior administrative assistants to address requests and inquiries from senior managers
  • Accurately transferring data from paper formats into computer files or database systems using keyboards, data recorders, or optical scanners
  • Inputting data directly from customers, ensuring accuracy and precision
  • Creating error-free spreadsheets with extensive numerical data
  • Verifying data accuracy by cross-referencing with source documents
  • Updating and maintaining existing data records
  • Retrieving requested data from databases or electronic files promptly
  • Performing regular data backups to safeguard data integrity
  • Organizing and categorizing paperwork post-data entry

Requirements:

To be successful in this role, you will need to possess the following qualifications and skills:

  • Demonstrated experience in roles such as Administrative Assistant, Virtual Assistant, or Office Admin Assistant
  • Proficiency in office management systems and procedures
  • Familiarity with office equipment operation, including printers and fax machines
  • Basic competence in MS Office, particularly in MS Excel and MS PowerPoint
  • Exceptional time management abilities, along with effective task prioritization
  • Strong attention to detail and adept problem-solving capabilities
  • Exceptional written and verbal communication skills
  • Outstanding organizational aptitude, complemented by multitasking proficiency
  • Educational background comprising at least a High School degree; additional qualifications as an Administrative Assistant or Secretary are advantageous
  • Proven track record as a Data Entry Clerk
  • Rapid typing skills, with a preference for familiarity with touch typing
  • Profound expertise in word processing tools and spreadsheet software (e.g., MS Office Word, Excel)
  • Competency in operating various office equipment and computer hardware and peripherals
  • Fundamental understanding of database operations
  • Proficient command of the English language, both spoken and written, coupled with strong customer service acumen
  • Meticulous attention to detail
  • Possession of a High School diploma or equivalent certification
