As a Staff Assistant, you will be responsible for performing a wide range of administrative tasks, including:
- Scheduling meetings and events
- Composing and editing documents
- Managing phone coverage and welcoming clients
- Handling mail and office supplies
- Coordinating travel and accommodation arrangements

- Maintaining accurate records and reports
- Providing support for special projects and events
What You'll Do
* Assist with the planning and execution of management presentations and special events as required
- Manage, audit, and screen all local invoices through InvoiceWorks and distribute as necessary
- Investigate and resolve office technology issues, including phone and copier machines
- Track and ensure employees complete onboarding obligations, including system access, workspace allocation, letter drops, uniforms, ID cards, fingerprinting, training, etc.
- Assist with station event planning, coordination, and execution (e.g., team-building activities, lunch meetings, celebration events)
- Handle financial processing in Workbrain for management and care staff
- Process deprivation letters and arrange local notifications and responses
- Oversee employee termination, including approvals and tasks, as required
- Assist with timekeeping capabilities, data entry, data verification, compromises, and recording
- Maintain employee records, as needed
- Maintain station meeting plans, including monthly crisis response
- Access and manage various intermittent reports, including performance, review, cost, employee engagement, and recognition, etc.
- Update required manuals and maintain all security-related items
- Serve as backup for other financial capabilities
- Oversee records for OSHA, security, etc. (301's, weekly and annual)
- Assist with budget planning and compromise, including monthly closeout of landing charges
- Uphold auditing exercises as required
- Track and confirm incentive reserves earned
- Liaise with CRE/Offices and vendors to follow local projects, as necessary
- Lead/coordinate work with other care staff, as necessary
- Perform other duties as required
All You'll Need for Success
* Bachelor's degree in a related field
- Previous office/administrative experience
- Familiarity with Microsoft Office, including Word, Excel, PowerPoint, and Outlook
- Knowledge of procedures, policies, and corporate design
- Ability to focus on work, be meticulous, and comply with time constraints
- Ability to work in a fast-paced environment and handle multiple tasks
- Ability to be self-motivated and work independently
- Ability to understand the concepts and functionality of specific software and systems
