AP and Payroll Specialist

The Role: This is a hands-on role at the intersection of payroll, accounts payable, and operational finance. You'll own the end-to-end payroll cycle across multiple states and manage the AP function that keeps our kitchens running — from vendor invoices to expense reimbursements. You'll also play a critical role in keeping our kitchens compliant: tracking business licenses, permits, and renewals across every jurisdiction we operate in. Your Impact: Run multi-state payroll on a recurring cycle, ensuring accurate wage calculations, tax withholdings, and compliance across 8+ states (CA, TX, FL, GA, CO, IL, NJ, VA, and more) Own the full accounts payable cycle: vendor onboarding, invoice processing, payment runs, and reconciliations Maintain compliance across all kitchen locations — track and manage business licenses, health permits, food handler certifications, sales tax registrations, and other recurring regulatory obligations, ensuring nothing lapses Manage payroll tax filings and registrations as we expand into new states Build and maintain spreadsheet-based tools and trackers that bring visibility to payroll costs, AP aging, vendor spend, and compliance status Reconcile payroll and AP accounts during monthly close, partnering with our accounting team on accruals and adjustments Identify inefficiencies in our current processes and drive improvements — we're growing fast and need someone who can scale our systems with us Respond to employee payroll questions with care and accuracy Skills & Experience:2 to 4 years of experience in payroll, accounts payable, accounting, or a related analytical role Strong Excel or Google Sheets skills, with comfort building models, using pivot tables and lookups, and working with large datasets Highly organized with strong attention to detail — payroll errors, missed invoices, and lapsed permits have real consequences Comfortable working in a fast-paced environment with evolving priorities Strong communicator who can explain financial and operational topics clearly to non-finance partners Demonstrated ownership and initiative, with an ability to learn quickly and take on new challenges Interest in operational roles where your work directly impacts how the business runs Degree in accounting, finance, business, or a related field Salary: $75,000 - $95,000 Benefits: Unlimited PTO Medical, Dental, & Vision Insurance 401k with up to a 4% employer match after one year Remote Work Paid Parental Leave Responsibilities and tasks outlined in this document are not exhaustive and may change as determined by the needs of the company.
