Experienced Data Entry Specialist – Legal Records Processing

About the Role:
As a Data Entry Specialist at arenaflex, you'll play an essential role in the legal support process, handling vital information for legal cases, client satisfaction, and our overall operations. This is a full-time, on-site position based at our Irvine, CA office, offering a competitive hourly rate of $19-22 per hour. Key Responsibilities:
- Accurately input client order data received via fax, email, or phone into our system. - Generate and maintain legal documents such as custodian letters, certifications, affidavits, and notices. - Use Crystal Reports to create and manage custom client questions. - Ensure proper delivery of notices to all counsel of record via fax or FedEx. - Complete tasks within the research queue and document MTQ/Rule 11 information. - Support expeditors, billing team, and managers with data integrity and workflow updates. - Maintain strict compliance with HIPAA and all confidentiality protocols related to medical and legal records. - Operate fax machines, scanners, and copiers as part of daily workflow. - Perform other duties as needed to support departmental and client needs.
What You Bring:
- A positive, team-oriented mindset and strong communication skills. - Ability to prioritize and adjust to shifting deadlines in a high-volume environment. - Keen attention to detail with a strong commitment to data accuracy and efficiency. - Comfortable working independently as well as collaboratively with cross-functional teams. - Proficiency in Microsoft Outlook, Word, Adobe Acrobat, and general internet applications. - Familiarity with subpoenas, written depositions, and affidavits is a plus. - Flexible schedule with availability for occasional overtime when needed. - Excellent punctuality and attendance record.
Qualifications:
- High school diploma or equivalent required. - Legal terminology knowledge preferred but not required. - Prior data entry or administrative experience in a legal or medical setting is a plus. - Demonstrated ability to manage confidential information and comply with data privacy standards. - A self-starter who strives for operational excellence and takes initiative in problem-solving.

- This role is not a supervisor position.

- Ability to effectively present information and respond to questions from internal and external customers whose first language is English.
