Key Responsibilities and Duties
As an Experienced Customer Service Support Specialist (CT), you will be responsible for a wide range of critical tasks, including:
- Creating, completing, updating, and reviewing employee and client records, ensuring accuracy and compliance with regulatory requirements.
- Entering information into computer databases for effective record keeping, maintaining confidentiality and security of sensitive data.
- Administering new and existing DocuSign accounts, ensuring seamless integration with our operations.
- Preparing and sending documents via mail using approved communications, adhering to company policies and procedures.
- Ensuring the proper naming and saving of documents in the document management system, maintaining a well-organized and easily accessible repository.
- Assisting stakeholders in returning documents, providing exceptional customer service and support.
- Serving as an escalation point for DocuSign support issues from the Operations staff and customers, resolving complex problems and concerns.
- Ensuring all compliance standards are met for audit purposes, maintaining a high level of accuracy and attention to detail.
- Performing timesheet reviewing, time-tracking, proofing & posting, and reviewing overlap and overtime reports, ensuring timely and accurate payroll processing.
- Making and receiving phone calls to support external and internal stakeholders, providing clear and concise communication.
- Accurately and efficiently completing payroll checklists for assigned agencies, resolving any discrepancies that may exist in the document.
- Collaborating with the staff to resolve rejected timesheet issues and reduce out-of-cycle payroll disbursements, improving overall efficiency and productivity.
- Completing administrative tasks such as filing, copying, data entry, etc., maintaining a high level of organization and productivity.
- Preparing and submitting invoices to agencies, applying payments, and collecting on unpaid claims, ensuring timely and accurate financial processing.
- Maintaining confidentiality of records relating to clients, adhering to company policies and procedures.
- Collaborating with other staff members to optimize delivery of services, improving overall efficiency and customer satisfaction.
- Identifying opportunities to improve GT processes, implementing changes and improvements to enhance our operations.
Essential and Preferred Qualifications
* High School Diploma or GED required; Associate degree preferred.
- At least 1 year of related work experience, with a strong background in customer service, billing, payroll, or a related field.
- Excellent written and oral communication skills, with the ability to communicate effectively with people of diverse backgrounds and abilities.
- Extensive experience in working on complex projects with critical thinking and problem-solving skills.
- Excellent organizational and administrative skills, with demonstrated ability to work towards and meet deadlines by planning and organizing.
- Ability to balance work pressure with time management skills, prioritizing tasks and managing multiple projects simultaneously.
- Experience in working, initiating, and maintaining a highly effective team, with a strong focus on collaboration and communication.
- Competent in the use of Microsoft programs and the Internet, with a strong understanding of Excel and other productivity tools.
- Preferred qualifications include knowledge of administrative procedures, written & oral communication, attention to detail, and basic math skills.
