Job Summary

We're seeking an experienced Customer Service Representative to join our team in our Phoenix showroom. As a key member of our sales team, you'll be responsible for providing exceptional customer service, supporting sales efforts, and managing customer accounts. This is a diverse role that requires a unique blend of technical knowledge, communication skills, and problem-solving abilities.

Key Responsibilities

As a Customer Service Representative at arenaflex, you'll have the opportunity to:

  • Be familiar with our product set and describe colors, styles, and features to customers
  • Understand the sales process from start to finish and close sales both face-to-face and over the phone
  • Greet and assist customers in our office or via phone, answering their questions and resolving their concerns
  • Write up customer orders using our Dancik system
  • Refer customers to Sales Representatives when they're onsite and available
  • Service existing accounts and obtain new accounts through direct referrals, out-bound or in-bound sales calls
  • Be knowledgeable of our payment procedures and understand our inventory, checking stock levels and requesting reorders as necessary
  • Assist in completing customer files, including Client Information Sheets, Tax Exemption Certificates, and Credit Card Authorizations
  • Arrange pick-up schedules with operations and outside freight companies
  • Coordinate customer material pick-ups with warehouse personnel
  • Verify outgoing product counts prepared by the warehouse personnel
  • Compare disputed merchandise with original requisitions and information from invoices
  • Keep records of customer interactions and transactions in our Smartsheet CRM system
  • Make recommendations for improvements in products, packaging, shipping, service, or billing methods and procedures
  • Refer unresolved customer grievances to designated departments for further investigation
  • Resolve customer service or billing complaints by exchanging merchandise, refunding money, and/or adjusting bills after review with management
  • Contact customers about billing issues if requested
  • Detect discrepancies on records or reports
  • Use computers and computer systems to set-up functions, enter data, or process information
  • Observe, receive, and obtain information from all relevant sources to provide excellent customer service
  • Compile, code, categorize, calculate, tabulate, audit, and verify information or data
  • Develop a constructive and cooperative working relationship with other arenaflex employees and maintain them on an ongoing basis
  • Develop specific goals and plans to prioritize, organize, and accomplish your work
  • Attend regular CRS training meetings and dedicate yourself to continuous improvement
  • Attend industry functions, representing arenaflex while networking with professionals
  • Visit accounts not being serviced by Territory Managers to assist with sampling and general customer service

Essential Qualifications

To be successful in this role, you'll need:

  • 3-5 years of experience in customer service or office management roles, preferably in the natural stone industry
  • Well-organized and self-disciplined, with attention to detail a must
  • Outstanding customer service skills
  • Professional appearance
  • Good presentation skills
  • Problem-solving skills with a proactive approach
  • Excellent communication skills, both written and verbal
  • Team player
  • Good computer skills, including MS Outlook, Word, and Excel

Preferred Qualifications

While not required, we encourage recent college graduates to apply. If you have experience in the natural stone industry, it's a plus!
