Experienced Virtual Personal Assistant – Remote Support for arenaflex Property Management

We are seeking a highly organised, proactive, and tech-savvy Virtual Personal Assistant to join our dynamic team at arenaflex, a leading UK-based property company. As a Virtual PA, you will play a vital role in supporting our director and ensuring the smooth day-to-day operations of our property management business. This remote role requires availability from 7 AM to late afternoon (UK time), Monday to Friday.

As a Virtual PA, you will be an integral part of our team, working closely with our director to ensure that our operations run smoothly and efficiently.

Key Responsibilities

As a Virtual Personal Assistant, you will be responsible for handling various administrative tasks, including:

  • Managing the director's emails and admin tasks, ensuring prompt and professional responses to all inquiries
  • Responding to customer phone calls and emails, providing timely and effective solutions to their queries
  • Calling customers back who require urgent assistance, demonstrating empathy and a customer-centric approach
  • Arranging maintenance work, including:

+ Responding to customer emails requesting maintenance + Coordinating contractors to attend, subject to landlord/line manager approval + Ensuring that all maintenance work is completed to a high standard and in a timely manner

  • Handling Airbnb guest inquiries and requests via the Airbnb platform, providing exceptional customer service and ensuring that all guest needs are met
  • Updating Guesty (our property management software) with accurate listing information, ensuring that all properties are accurately represented online
  • Drafting contracts for tenants and employees, ensuring that all documents are professional and compliant with relevant laws and regulations
  • Responding to landlords, tenants, and staff inquiries professionally, providing clear and concise information and resolving any issues promptly
  • Using ChatGPT to generate professional responses in the director's tone, checking key responses with him via WhatsApp to ensure accuracy and consistency
  • Creating a maintenance manual with FAQs within the first two months to streamline future inquiries and improve customer satisfaction
  • Organising mail merges and distributing letters to UK customers for marketing campaigns, ensuring that all marketing materials are accurate and effective
  • Communicating with the director via WhatsApp or email for clarifications, ensuring that all tasks are completed to a high standard and in a timely manner

Ideal Candidate

We are looking for a highly organised and proactive individual who is able to work independently and as part of a team. The ideal candidate will have:

  • Strong written and verbal communication skills, with fluent English required
  • Experience in Airbnb, Guesty, and UK property management (or a willingness to learn)
  • Confidence using ChatGPT for drafting responses and admin support
  • Excellent problem-solving skills and the ability to manage urgent customer issues
  • Reliability and responsiveness during working hours
  • Experience working for a UK property company is a bonus

The ideal candidate should have excellent working knowledge of:

  • Airbnb platform

Additional Requirements
