Experienced Data Entry Associate – Medical Records Management and Compliance

We are seeking an experienced Data Entry Associate to join our team at arenaflex. As a Data Entry Associate, you will play a vital role in gathering, preparing, and entering alphabetic and numeric data from various source documents into our computer system for storage, processing, and data management purposes. Key Responsibilities:

As a Data Entry Associate at arenaflex, your key responsibilities will include:

  • Gathering, organizing, and preparing source documents for data entry into our system database
  • Reviewing data for discrepancies, missing pages, or information and resolving discrepancies using standard procedures or returning incomplete documents to the team leader for resolution
  • Entering both alphabetic and numeric data from source documents into the proper system database
  • Reviewing data entered against the original source documents for accuracy and correcting any data entry errors or duplications
  • Following data program security practices and procedures at all times
  • Routinely securing information by completing database backup daily
  • Performing other various clerical duties such as sorting, filing, emailing, and proofreading as required
  • Maintaining confidentiality of all personal and financial information at all times and in accordance with HIPAA regulations
  • Performing other duties as assigned

Essential Qualifications:

To be successful in this role, you will need to possess the following essential qualifications:

  • High school diploma or equivalent required
  • A minimum of 6 months related experience; or equivalent combination of training and experience
  • Experience in a medical office preferred
  • Complete knowledge of general computer, fax, copier, scanner, and telephone
  • Knowledge of multiple software programs, including but not limited to Microsoft Word, Outlook, Excel, and the Internet
  • Full understanding of HIPAA regulations and compliance
  • Qualified typist with a minimum of 40 W.P.M.
  • Ability to follow instructions and respond to management's directions accurately
  • Demonstrates accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met
  • Exceptional communication skills by conveying necessary information accurately, listening effectively, and asking questions where clarification is needed
  • Ability to work independently, prioritize work activities, and use time efficiently
  • Ability to maintain confidentiality
  • Ability to demonstrate and promote a positive team-oriented environment
  • Ability to stay focused and concentrate under normal or heavy distractions
  • Ability to work well under pressure and/or stressful conditions
  • Ability to manage change, delays, or unexpected events appropriately
  • Demonstrates reliability and abides by the company attendance policy
  • Maintains a professional and clean appearance at all times consistent with company standards

Preferred Qualifications:

While not required, the following qualifications are preferred:

  • Experience with electronic medical records (EMRs) and practice management systems (PMS)
  • Familiarity with medical terminology and coding systems (e.g., ICD-10, CPT)
  • Certification in medical records management or a related field
  • Experience working in a fast-paced environment with multiple priorities and deadlines
