Job Summary
The Customer Service Agent Trainee will train to assist, support, and handle non-emergency communications and responses to residents requesting city services. This role will interact with residents, take calls, and direct inquiries to field staff. As a Customer Service Agent Trainee, you'll have the opportunity to learn and grow with our team, developing the skills and knowledge needed to provide exceptional customer service.
Key Responsibilities
- Supports call center operations and customer service activities: Receives and responds to non-emergency calls from residents, generates appropriate service requests, and participates in the dispatching of crews and equipment.
- Interacts and communicates with residents: Explains and interprets City policies and procedures, addresses service requests and concerns, and directs customers to necessary parties to resolve problems and provide assistance.
- Provides follow-up to resident requests: Ensures field techs have been dispatched and situations have been resolved in a timely and effective manner, addresses utility concerns, neighborhood or City inquiries, or other non-emergency concerns.
- Receives, prioritizes, and dispatches non-emergency service requests: Interacts and engages with different levels of management to resolve or report an issue, develops competency and experience through effective training and participation in residents' concerns.
- Inputs and transmits call information: Enters incident data in system to ensure documentation of incident and transmittal to dispatcher for prompt response.
- Interviews callers to obtain necessary information: Documents an accurate and complete report of the incident, situation, or service request.
- Dispatches and processes non-emergency type of city service requests: Provides general information and educates residents on City resources, programs, and services available.
- Maintains record logs: Tracks time, identification, and type of service provided.
- Performs all other work as needed or assigned: Participates in additional duties and responsibilities as required.
Essential Qualifications
To be successful in this role, you'll need to possess the following qualifications:
- Education: High School Diploma or GED
- Experience: None required, but prior customer service experience is an asset
- Licenses and Certifications: None required
Knowledge, Skills, and Abilities
To excel in this role, you'll need to possess the following knowledge, skills, and abilities:
- Knowledge of City services and programs
- Knowledge of telephone etiquette and procedures
- Knowledge of customer service policies, procedures, and guidelines
- Ability to handle large call volumes
- Ability to dispatch non-emergency calls
- Ability to apply policies and procedures quickly and effectively
- Ability to receive and handle complaints, requests, and information
- Ability to perform data entry and work processing
- Ability to learn and gain experience through collaborative efforts with other Agents
- Effective verbal and written communication skills
- Ability to establish and maintain effective working relationships
