Job Overview

We're seeking an experienced and passionate Customer Service Representative to join our fully remote team as we expand our customer service division. As our first hire, you'll have the unique opportunity to contribute to the development of our processes, enhance customer satisfaction, and drive business growth. Key Responsibilities

As a Customer Service Representative at arenaflex, you'll be responsible for:

  • Addressing and resolving customer inquiries via our platform (Gorgias, akin to Zendesk) in a timely and professional manner.
  • Providing exceptional customer support through Meta/Facebook/Instagram DMs and comments, ensuring that every interaction is positive and engaging.
  • Managing and organizing customer emails across two primary inboxes (contact@ and orders@), ensuring that every inquiry is addressed and resolved efficiently.
  • Supervising and supporting a full-time virtual assistant/customer service agent, providing guidance and training to ensure seamless customer service delivery.
  • Identifying and documenting opportunities to enhance customer service efficiency and scalability, contributing to the development of our processes and procedures.
  • Troubleshooting shipment issues, including incorrect addresses and incomplete information, ensuring that every customer receives their order on time and in good condition.
  • Acting as the main point of contact for our expanding wholesale program, liaising with brick-and-mortar establishments to ensure seamless communication and collaboration.
  • Moderating and facilitating our online community (Circle Group), fostering a positive and engaging environment for our customers and partners.
  • Assisting in vetting custom/bulk orders through a dedicated sales funnel, utilizing provided marketing and sales resources to drive business growth and revenue.

Required Skills

To succeed in this role, you'll need:

  • A friendly and professional demeanor with a genuine passion for engaging with people.
  • 2 years of experience in eCommerce management, with a focus on strategic planning and operations.
  • Proficiency in Microsoft Office Suite, particularly Excel, to analyze data and optimize processes.
  • Strong business acumen coupled with a customer-centric approach, ensuring that every decision is driven by customer needs and satisfaction.
  • Experience with Shopify for order processing and updates, as well as familiarity with ShipStation or comparable shipping software.
  • Excellent written communication, organizational, and grammar skills, with the ability to create positive and concise messaging for social media platforms (Meta/Facebook/Instagram).
  • Strong multitasking abilities and a collaborative spirit in a small team environment, with the ability to work effectively with virtual assistants and other team members.
  • Experience with email marketing platforms, preferably Klaviyo, to drive customer engagement and loyalty.

Qualifications

  • A minimum of 2 years of experience in customer service or eCommerce management, with a proven track record of delivering exceptional customer experiences.
  • Demonstrated capability to manage end-to-end order processing for wholesale accounts, ensuring seamless communication and collaboration with brick-and-mortar establishments.
  • Comfortable thriving in a fast-paced and dynamic work environment, with the ability to adapt to changing priorities and deadlines.
