Work Arrangement: Remote to start, with transition to on-site/in-person responsibilities We are seeking a reliable, organized, and detail-oriented Legal Secretary / Accounts Receivable / Office Manager to support a growing legal office in Puerto Rico. This role will begin remotely but will require in-person work as the office becomes operational. The ideal candidate has prior legal office experience, is comfortable handling administrative and financial tasks, and can help manage both day-to-day office operations and physical office setup.

Responsibilities

  • Provide legal secretary and administrative support
  • Manage accounts receivable, including collections and payment follow-up
  • Receive, process, cash, and deposit checks
  • Maintain accurate payment and deposit records
  • Handle physical legal files, document organization, filing, and retrieval
  • Assist with HR tasks, including scheduling interviews and communicating with candidates
  • Help coordinate hiring for in-office roles
  • Manage equipment provisioning for staff
  • Assist with office setup, supplies, vendors, and in-person operational needs
  • Coordinate between remote staff, in-office staff, clients, and management
  • Maintain confidentiality and professionalism in all legal and financial matters
  • Use office technology and software efficiently

Requirements

  • Legal office experience required
  • Experience with physical legal files required
  • Strong organizational and follow-up skills
  • Comfortable handling checks, deposits, collections, and basic AR processes
  • Able to work remotely at first and transition to in-person work in Puerto Rico
  • Reliable transportation for banking, office setup, and in-person errands
  • Professional communication skills
  • Bilingual English/Spanish strongly preferred
  • Experience with HR, recruiting, or office management preferred
  • Experience using AI tools is a plus
