Construction Project Coordinator (Operations, Scheduling, Client Communication)

As a Project Coordinator, you’ll be responsible for scheduling roofing and renovation projects with our clients. You’ll also be responsible for communicating with our crew for scheduling on projects. Throughout the project, you’d be expected to keep clients informed on progress and keep consistent communication with the crew for daily updates. The bulk of the job is communication and data entry. On the admin side, you’ll have to successfully update what stage in the project we are (new, waiting for deposits, scheduled, etc.). Entering new client or lead information in our system as well as tactical follow up. Writing up quotes and sending invoices to clients for payment. Day-to-Day + Responsibilities

  • Run the shared inbox: triage, organize, respond, and only escalate items that need owner approval.
  • Own lead intake for referrals and any inbound calls: log in CRM, first touch, qualify, and schedule site visits.
  • Maintain the pipeline daily: every lead/job has a stage, next step, due date, and notes/photos/docs attached.
  • Client Follow-up's: quotes, deposit requests, stalled decisions, and post-job check-ins (Day 2/7/14).
  • Scheduling coordinator: owner site visits, start dates, crews, subs, material deliveries, and any inspections.
  • Draft and send paperwork: prep DocuSign contracts for approval, then send after approval; send approved quotes/invoices from templates.
  • Materials ordering support: build Home Depot/SRS carts and confirm deliveries; you approve (especially over your threshold).
  • Client updates during production: progress updates + photos, schedule changes, and expectation setting.
  • Crew communication (Spanish as needed): confirm starts, request daily updates/photos, and surface issues to you fast.
  • Vendor portal/work order updates: keep statuses and documentation current.
  • Closeout: final invoice sent/collected, photos stored, review request sent, maintenance/warranty offer sent.
  • Daily reporting to you: a single daily needs owner list (approvals, risks, today’s schedule, completed items).
