Key Responsibilities

As an Experienced Customer Service Specialist, your duties will include:

  • Serving as the first point of contact for external customers via telephone or in person, providing general information about arenaflex functions and services, and explaining department operating policies and procedures.
  • Developing, maintaining, and archiving various files and records.
  • Assisting the public with reserving and renting City facilities, registering customers for classes, programs, and tours, and participating in tours as required.
  • Responding to letters and routine correspondence, receiving and processing payments for various services, handling cash, and preparing deposits.
  • Receiving, reviewing, and processing invoices, payment requests, tracking costs, ensuring proper coding, researching and resolving errors in orders received and invoices, and preparing and processing purchase requisitions.
  • Preparing, compiling, tabulating, and maintaining data, including databases, various documents, statistical, and operational reports and records.
  • Reviewing payroll for assigned departments, identifying and resolving discrepancies, researching and responding to questions from staff regarding payroll.
  • Tracking and registering staff for training classes as needed.
  • Issuing, receiving, typing, and processing various applications, permits, and other forms, applying departmental policies and procedures in determining completeness of applications, and calculating fees.
  • Overseeing the safe and proper operation of assigned facilities and activities, ensuring facility rules and safety guidelines are followed, maintaining order with disruptive patrons, and exercising crowd control when warranted.
  • Rendering first aid and CPR, if certified, as required.
  • Completing written reports and records as required, organizing and monitoring equipment inventory or assigned facility.
  • Knowing, understanding, and communicating department programs and services.
  • Answering questions and providing information to the public, investigating complaints, and recommending corrective action as necessary to resolve complaints.
  • Identifying and reporting any maintenance required on assigned facilities, equipment, or materials.
  • Overseeing daily operations and events held at assigned facilities, ensuring cleanliness of restrooms and public areas, identifying and reporting maintenance conditions affecting facility operation, equipment, materials, and security.
  • Building and maintaining positive working relationships with co-workers, other City employees, and the public using principles of good customer service.
  • Performing related work as required.

Essential Qualifications

* High school diploma or equivalent required; associate's or bachelor's degree in a related field (e.g., business administration, communications, or customer service) preferred.

  • Minimum 2 years of experience in customer service, administrative support, or a related field.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Ability to work in a fast-paced environment, prioritize tasks, and manage multiple projects simultaneously.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, and Access) and other software applications.
  • Ability to lift up to 25 pounds, stand for long periods, and move around the facility as needed.

Preferred Qualifications

* Experience working in a recreation or leisure services setting.

  • Knowledge of arenaflex policies, procedures, and programs.
  • Certification in CPR, first aid, or a related field.
  • Bilingual or multilingual skills.
  • Experience with database management and data analysis.

Compensation, Perks, and Benefits

  • A salary range of $45,000 - $60,000 per year, depending on experience and qualifications.
