Key Responsibilities

As a Remote Administrative Support Specialist/ Customer Service Representative, you will play a vital role in shaping our company's mission and culture. Your responsibilities will include:

  • Surprising and delighting clients with innovative solutions and personalized service, ensuring no one falls through the cracks
  • Responding to client inquiries and requests promptly
  • Managing payments and sending payment reminders
  • Handling flight changes, seat assignments, and concierge details such as spa, tour, and dinner reservations
  • Corresponding with clients about their preferences, arranging surprises, welcome notes, and notifying hotels of preferences before departure
  • Preparing client documents and travel tips, advising on what should be printed, and ensuring everything is ready 3 weeks before departure
  • Assisting with internal coordination and distributing necessary information
  • Setting schedules and managing time effectively
  • Managing client profiles and bookings
  • Serving as backup travel support or the main point of contact during emergencies, even outside of normal office hours
  • Continuously growing in your ability to implement tools that enhance our remote workplace culture

Essential Qualifications

* 2+ years of experience in customer service, administrative support, or a related field

  • Proven track record of delivering exceptional customer experiences
  • Strong organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Excellent verbal and written communication skills
  • Ability to work independently in a remote environment
  • Strong problem-solving skills, with the ability to think creatively and outside the box
  • Proficiency in Microsoft Office, Google Suite, or other productivity tools

Preferred Qualifications

* Experience working in the travel industry or a related field

  • Familiarity with customer relationship management (CRM) software
  • Experience with virtual meeting platforms and collaboration tools
  • Certification in customer service or a related field
  • Fluency in multiple languages
