Experienced Customer Service Assistant – Frontline Support for arenaflex

Responsibilities and Duties

As a Customer Service Assistant, you'll be responsible for:

  • Reviewing bills of materials and maintaining them in our system to ensure seamless operations
  • Answering incoming calls from customers and vendors with a smile, providing helpful and patient support to resolve their queries and concerns
  • Processing month-end tasks with precision and accuracy, ensuring timely completion of financial records and reports
  • Maintaining vendor files and contact information, keeping our relationships strong and our communication channels open
  • Managing financial recordkeeping, issuing receipts, and recording payments with attention to detail and a focus on accuracy
  • Collaborating with Production Supervisors and co-workers to ensure effective communication and a smooth workflow
  • Demonstrating a strong work ethic, honesty, and integrity in all aspects of your role
  • Performing administrative functions such as electronic and physical filing, scanning, copying, and organizing documents, and creating company documents
  • Maintaining electronic documents, including miscellaneous spreadsheets for the office
  • Entering receivers into our ERP software with ease and accuracy
  • Managing office supply stock levels and keeping the office supply room organized
  • Providing administrative support to other departments as needed
  • Taking on other general duties as required by management staff

Knowledge, Skills, Abilities

To succeed in this role, you'll need:

  • The ability to read and comprehend basic verbal and written instructions, as well as read and interpret drawings, blueprints, sketches, instructions, and specifications
  • A willingness to accept and receive frequent training, supervision, and assistance from positions and supervisory personnel
  • Excellent communication skills, with the ability to communicate effectively with many levels of personnel in various situations and environments
  • The ability to work in a team-oriented environment, with a strong focus on collaboration and mutual support
  • The motivation to learn and grow, with a willingness to take on new challenges and responsibilities
  • The ability to work in a manufacturing and fast-paced environment, with a focus on efficiency and productivity
  • Reliable transportation and a punctual and dependable attendance record
  • The ability to work overtime as needed, with a flexible and adaptable approach to your work schedule
  • The ability to pass a pre-employment physical examination and drug screen

Education and Experience

We're looking for candidates with:

  • A High School Diploma, with an associate degree preferred
  • One (1) year of Administrative Assistant experience, with a strong background in customer service and support
  • Proficiency in Microsoft Office Suite products, with advanced Excel skills
  • Experience with SharePoint and Salesforce, with a strong understanding of data management and analysis
  • Strong organizational skills, with attention to detail and problem-solving abilities
  • Clear and precise communication skills, with the ability to work within a team
  • Previous experience in manufacturing or warehouse environments, with a strong understanding of production processes and workflows
  • Excellent communication skills, customer service skills, and the ability to handle stressful situations
