Experienced Customer Service and Data Entry Professional – Appointment Setter (Part-Time)

Job Summary:
We're seeking an experienced Customer Service and Data Entry Professional to join our part-time team at arenaflex. As a key member of our team, you'll be responsible for providing exceptional customer service, managing appointments, performing data entry tasks, and coordinating special projects. If you're a highly organized, detail-oriented, and customer-focused individual with excellent communication skills, we'd love to hear from you.
Key Responsibilities:
* Manage an extremely active calendar of appointments, ensuring all schedules are correct and updated daily
- Compose and prepare correspondence, including confidential documents, and arrange complex events, meetings, and sales presentations
- Meet ever-changing and multiple deadlines, managing day-to-day workflow and prioritizing conflicting needs
- Successfully complete critical aspects of deliverables, including drafting acknowledgement letters, personal correspondence, and preparing presentations
- Perform personal errands as required and communicate effectively with diverse populations, individually or as a team member
- Open, sort, and distribute correspondence, including email, faxes, and regular mail
- Attend meetings and discussions as required and keep all pertinent information, such as schedules, speaking opportunities, and staff issues
- Coordinate and manage special projects, including working collaboratively with staff to ensure projects meet deadlines
- Ensure staff is prepared for upcoming appointments by gathering materials necessary for each meeting
- Collect and assemble information for presentations, projects, and strategic planning
- Prepare, edit, and draft presentations and collect data and edit documents for accuracy and input data entry in a timely manner
Qualifications:
* Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Very strong interpersonal skills and the ability to build relationships with clients and marketing staff
- Detail-oriented with strong proofreading skills
- Expert level written and verbal communication skills
- Demonstrated proactive approaches to problem-solving with strong decision-making capability with minimal guidance in a quickly changing environment
- Emotional maturity
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Basic accounting knowledge
- Familiarity with Google Spreadsheets, Excel, and Apple Software
- Self-motivated, with flexibility to multitask and prioritize in a fast-paced environment
- Use discretion and adhere to all corporate, legal, and regulatory guidelines
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
- Forward-looking thinker, who actively seeks opportunities and proposes solutions
Education Requirements:
* Bachelor's degree required or four or more years of experience assisting C-Level executives
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms
Working Conditions & Physical Requirements:
* Ability to safely and successfully perform the essential job duties of this position, with or without reasonable accommodation
- Ability to meet aggressive deadlines as needed with minimal supervision
- Occasionally lift medium to heavy objects
Other Requirements:
* Ability to maintain regular and punctual attendance
