Responsibilities

As a Customer Service Representative at arenaflex, you will be responsible for a wide range of administrative support tasks, including:

  • Organizing office operations and assisting associates in optimizing procedures to ensure seamless workflow
  • Sorting and distributing communications in a timely manner to ensure prompt response to customer inquiries and requests
  • Creating and updating records, ensuring accuracy and validity of information to maintain high standards of data integrity
  • Scheduling and planning meetings and appointments to ensure efficient use of time and resources
  • Monitoring the level of supplies and handling shortages to prevent disruptions to our operations
  • Resolving office-related malfunctions and responding to requests or issues in a prompt and professional manner
  • Coordinating with other departments to ensure compliance with established policies and procedures
  • Maintaining trusting relationships with suppliers, customers, and colleagues through exceptional communication and interpersonal skills
  • Performing receptionist duties when needed, including answering phone calls, greeting visitors, and handling mail and packages

Preferred Skills

To be successful in this role, you will need to possess the following skills and qualifications:

  • Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
  • Knowledge of back-office computer systems, including MS Office and other software applications
  • Working knowledge of office equipment, including printers, scanners, and photocopiers
  • Thorough understanding of office management procedures, including record-keeping, filing, and data entry
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
  • Analytical abilities and aptitude in problem-solving, with a focus on finding creative solutions to complex problems
  • Excellent written and verbal communication skills, with the ability to communicate effectively with customers, colleagues, and suppliers
  • Proficiency in MS Office, including Word, Excel, and PowerPoint
  • Knowledge of QuickBooks and Excel, with experience in data analysis and financial reporting
