What to Expect (Job Responsibilities)
As an Office Assistant & Customer Care professional, your primary responsibilities will include:
- Providing office communications support: Answering calls, forwarding messages, and confirming customer work orders to ensure seamless communication and customer satisfaction.
- Interacting with customers daily: Addressing appointments, service issues, billing inquiries, and other customer concerns to provide exceptional service and build strong relationships.
- Conducting customer satisfaction surveys and courtesy calls: Gathering feedback and insights to help us improve our services and better meet customer needs.
- Tracking customer information and maintaining records: Utilizing our Customer Relationship Management System to accurately track customer data and maintain up-to-date records.
- Scheduling and delegating work orders: Coordinating with field staff to schedule and delegate work orders, ensuring efficient and effective service delivery.
- Executing daily accounting and bookkeeping tasks: Managing billing, receivables, and payables to maintain accurate financial records and ensure timely payments.
- Managing office supplies and addressing office-related malfunctions or requests: Maintaining a well-stocked and organized office environment, and addressing any technical issues or requests in a timely and professional manner.
What is Required (Qualifications)
To be successful in this role, you'll need to possess the following qualifications:
- College degree preferred or equivalent business experience: A degree in a related field or equivalent business experience is preferred, but not required.
- 3+ years of experience in the service industry: A minimum of 3 years of experience in the service industry, with a focus on back-office activities, is required.
- Proficiency in computer literacy: Strong proficiency in Microsoft Office Suite and QuickBooks is essential for this role.
- Strong organizational, planning, and time-management skills: The ability to prioritize tasks, manage multiple projects, and meet deadlines is critical for success in this role.
- Excellent verbal and written communication skills: Strong communication skills are essential for interacting with customers, colleagues, and other stakeholders.
- Critical thinking and attention to detail: The ability to analyze information, make sound decisions, and maintain attention to detail is vital for this role.
