What to Expect (Job Responsibilities)
As an Office Assistant & Customer Care professional, you'll be responsible for: - Providing Office Communications Support: Answer calls, forward messages, and confirm customer work orders in a timely and efficient manner. - Interacting with Customers: Engage with customers daily to address appointments, service issues, billing inquiries, and other concerns, providing exceptional customer service and support. - Conducting Customer Satisfaction Surveys: Gather feedback from customers to help us improve our services and ensure we're meeting their needs. - Tracking Customer Information: Maintain accurate records of customer interactions and information in our Customer Relationship Management System. - Scheduling and Delegating Work Orders: Coordinate with field staff to schedule and delegate work orders, updating and monitoring schedules as needed to ensure seamless service delivery. - Executing Daily Accounting and Bookkeeping Tasks: Manage daily accounting and bookkeeping tasks, including billing, receivables, and payables, to ensure accurate financial records and timely payments. - Managing Office Supplies and Addressing Office-Related Malfunctions: Oversee office supplies and address any office-related malfunctions or requests in a timely and efficient manner.
What is Required (Qualifications)
To succeed in this role, you'll need: - College Degree or Equivalent Business Experience: A degree in business, communications, or a related field, or equivalent experience in a business or customer-facing role. - 3+ Years of Experience in the Service Industry: A minimum of 3 years of experience in the service industry, with a focus on back-office activities, customer service, or a related field. - Proficiency in Computer Literacy: Strong proficiency in Microsoft Office Suite, including Word, Excel, and Outlook, as well as QuickBooks or other accounting software. - Strong Organizational, Planning, and Time-Management Skills: Excellent organizational, planning, and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously. - Excellent Verbal and Written Communication Skills: Strong verbal and written communication skills, with the ability to effectively communicate with customers, colleagues, and management. - Critical Thinking and Attention to Detail: Critical thinking and attention to detail, with the ability to analyze problems and develop effective solutions.
